Expense Management Associate

Location: London
Role Type: Contract - 6 months
Work Setup: Hybrid - 4 days a week in the office

The Role

Our client is a large multinational firm that provides a range of financial services, including advisory, investment, and asset management solutions. It serves a diverse set of clients worldwide, focusing on strategic planning, market operations, and long-term financial growth.

What you'll do

  • Review and process travel requests, expense submissions, invoices, and event budget approvals in line with company policies and controls.
  • Manage approval queues and ensure requests are handled accurately and within agreed service levels.
  • Support employees and administrative teams with travel, expense, and policy-related queries.
  • Assist with workflow management, backlog reduction, and operational support during peak periods.
  • Document procedures, processes, and best practices to support knowledge sharing and consistency across the team.
  • Escalate policy exceptions, complex queries, and control concerns to senior stakeholders where required.

What you bring

  • At least 3 years' experience in expense and travel management, finance operations, accounts payable, or a similar administrative role.
  • Strong communication skills with the ability to engage effectively with stakeholders and provide excellent support.
  • Proficient in Microsoft Excel, with experience using AI tools such as Microsoft Copilot and ChatGPT to improve processes and efficiency.
  • Familiarity with Microsoft Outlook and wider Microsoft Office applications.
  • Strong attention to detail with the ability to manage approvals, policies, and operational processes accurately.
  • Ability to prioritise workloads, adapt to changing environments, and collaborate effectively within a team.
