About the Team
The Business Support roles within Pernod Ricard UK provide essential operational, logistical, and facilities services, ensuring the company runs efficiently and effectively. These roles are invaluable partners, delivering key services across premises management, fleet, maintenance, health & safety, and supplier coordination.
About Your Role
The Facilities Officer will deliver professional, friendly, and efficient facilities and fleet services, supporting the Assistant Office and Facilities Manager in day-to-day operations.
You’ll act as the face of the Facility Services team, handling premises management, fleet operations, maintenance coordination, and supplier engagement to ensure smooth running for the London Office and field-based teams.
Key Responsibilities
Fleet Management
- Oversee fleet operations for the London Office, including:
- Management of incidents, accidents, and driver-related issues
- Supplier coordination, contract reviews, and driver license checks
- Fleet performance reporting (vehicles, suppliers, driver behaviour—e.g., fines)
- Ensuring strict maintenance and servicing records for minimum downtime
- Developing fuel efficiency strategies
- Permits:
- Vehicle changeovers and returns management
- Damages, claims, breakdowns, parking permits, and fine reporting
- Payroll and compliance:
- Monthly fruit P11D reporting, invoicing, and fine tracking
- Ongoing pensions compliance via NCD (no claims discount) records management
- Analysis and reporting:
- Data-driven improvements for operational efficiency
- Strategic alignment with Group-wide fleet initiatives

Maintenance & Asset Management
- Primary contact for the maintenance contractor, including:
- Ensuring compliance with Health & Safety, statutory requirements, and internal policies
- Managing reactive call-out responses to SLAs
- Coordinating Planned Preventative Maintenance (PPM) schedules
- Tracking performance metrics and ensuring auditable records
- Cost control and supplier support:
- Reviewing, validating, and challenging reactive work quotes
- Asset register maintenance and lifecycle management
- Proactively identifying and addressing maintenance risks
- Contractual compliance:
- Validating supplier RAMS (Risk Assessments), permits to work, and insurance
Third-Party Supplier Management
- Prime point of contact for supplier coordination and queries, including:
- Raising and tracking work orders via a helpdesk system
- Monitoring performance against service-level agreements (SLAs)
- Validating compliance policies and site safety standards
- Administrative and administrative monitoring:
- Ensuring attendance records, invoicing accuracy, and compliance
- Escalating urgent issues to the Facilities Manager
- Managing supplier onboarding, inductions, and DOCS system integration
- Cost-efficiency improvements and relationship building:
- Proposing continuous improvement in efficiency and value
Health & Safety (H&S) & Compliance
- All office work:
- Uploading RAMS & permits for maintenance works in the permit to work system
- Delivering CARE Tours and Toolbox Talks
- Facilities induction:
- Arranging and delivering Facilities inductions and office tours (new starters)
Facilities Helpdesk & Cross-Support Roles
- Facilities helpdesk service:
- Resolving tickets for maintenance, fleet-related issues, contractors, and suppliers
- Cross-coverage:
- Temporary replacement of absent team members
Staff Shop & Locker System Management
- ReleezMe app management:
- Issuing lockers, assigning staff, and handling security passes & access
- Trouble-resolution including swapping, lost, or non-working lockers
New Starters & Onboarding
- New Starter Facilities Support:
- Preparing locker assignments, license checks
- Documenting and guiding DSE training access
- Managing leaver processes (deactivation, exit checks)
