Facilities Assistants – Bristol (x2)
Owen Reed is seeking two proactive and organised Facilities Assistants to join a leading top law firm in Bristol. These are exceptional opportunities for individuals who thrive in a dynamic working environment, delivering high-quality internal support and ensuring seamless operational efficiency across multiple office locations.
Working Arrangement
This is an office-based role in Bristol, but will also require regular travel to other offices to provide cover and operational support.
The Opportunity
In this role, you will:
- Play a crucial part in delivering high-quality facilities support across the office.
- Work closely with the Facilities Supervisor to ensure workplace services run smoothly.
- Provide an array of practical and operational assistance, including mail handling, maintenance, reprographics, and general facilities management.
This position is ideal for someone who enjoys a varied, hands-on role and takes pride in delivering outstanding service within a professional and busy legal environment.

Key Responsibilities
Daily Operations
- Provide daily mail room cover, ensuring efficient handling of incoming and outgoing post.
- Assist colleagues with stationery requests and general facilities support.
Administrative & Logistical Support
- Deliver reprographics services to departments across the business.
- Order stationery, cleaning supplies, consumables, cash & carry goods, and other office essentials.
- Investigate maintenance issues and coordinate repairs with external contractors.
- Monitor office cleaning standards and address any concerns with service providers.
- Support the Facilities Supervisor in procuring consumables, non-consumable items, and general facilities services.
Office & Document Management
- Assist in planning and coordinating office moves within agreed timelines.
- Manage storerooms, oversee waste and recycling processes, and maintain kitchen standards.
- Assist in health and safety inductions for new starters and maintain accurate records (supported by the Health & Safety Co-ordinator).

Travel & Maintenance
- Travel to other offices to provide facilities cover as required.
- Carry out basic reactive and preventative maintenance, as well as minor repairs.
Document Handling
- Manage the storage, maintenance, and archiving of deeds, wills, probate files, and other documents using a computerised database.
About You
The ideal candidate will be: ✔ Organised, reliable, and customer-focused—able to manage changing priorities effectively. ✔ Educated to GCSE standard (minimum Grade A–C or equivalent), including English and Maths. ✔ Proficient in Microsoft Word and Excel. ✔ Preferable but not essential: previous customer service or office-based experience (legal experience is an advantage, though not mandatory). ✔ Strong administrative, communication, and interpersonal skills. ✔ Proactive and flexible, with a strong commitment to exceptional internal client service.
