The Role
Fixed Term Opportunity for 6 months
Location: Kingston House
Hours: 37.5 hours per week
Department: Estates & Facilities

We are looking for a proactive and organised Facilities Assistant to join our Estates & Facilities team. This is an exciting opportunity for someone who enjoys a varied role combining reception, administration and facilities support responsibilities.
About The Role
As the first point of contact for colleagues, visitors and contractors, you will play a vital role in ensuring the smooth day-to-day operation. You will provide professional front-of-house support while assisting with facilities administration, site coordination and workplace services.
Key Responsibilities Include
- Direct support to the Facilities Manager
- Support the Head of Estates and Facilities with the mobilisation and operational setup of services on a new start up project.
- Update maintenance or CAFM systems with completed tasks. (Top Desk Reporting Portal)
- Support tasks such as raising purchase orders and managing suppliers.
- Maintain accurate records, logs, and compliance documentation.
- Monitor and report progress against mobilisation objectives, escalating risks or delays to the Head of Estates and Facilities as required.
- Help ensure a consistent Estates and Facilities service model is embedded across the new site, and existing organisational locations

We're looking for an individual who is organised, professional and able to manage a busy and varied workload.
You Will Have
- Previous administration experience
- Excellent communication and customer service skills
- Experience using IT systems, spreadsheets and reporting tools
- Strong organisational skills and attention to detail
- The ability to work independently and as part of a team
- A proactive approach and the ability to prioritise competing tasks
Desirable
- Experience in a reception or facilities support role.
- Administration experience within healthcare, estates or facilities environments.
- MS Office qualifications, NVQ Level 2 Administration (or equivalent).
- Full driving licence.
