The Role
As a Facilities Assistant, you’ll play a crucial role in supporting the wider Irwin Mitchell teams. This multifaceted position encompasses:
- Postroom and document services (mail, scanning, reprographics, and courier management),
- Porterage services,
- Office service centre management (stationery stock control, ordering, and paper replenishment),
- Meeting room and reception support, and
- Archiving and support for office moves, among other operational tasks.
Responsibilities

Postroom Management:
- Oversee the receipt, sorting, distribution, and dispatch of incoming and outgoing mail, courier deliveries, and confidential documents.
- Ensure accurate, efficient processing in line with agreed procedures.

Reprographics Support:
- Produce, finish, and distribute printed materials.
- Provide binding, laminating, and other document preparation services on time.
- Troubleshoot MFD (multi-function device) faults, e.g., paper jams, and manage printing requests.

Document and Print Services:
- Handle collection, processing, and delivery of copy, print, scanning, and finished document requests.
- Assist in managing larger reprographic projects and prioritising tasks.

Porterage and Office Operations:
- Move furniture, equipment, archived files, and other office items.
- Set up and adjust meeting rooms as needed.
- Perform manual handling tasks securely, including moving deliveries, replenishing supplies, and supporting relocations.

General Facilities Support:
- Ensure the office environment remains safe, organised, and functional.
- Execute administrative support tasks as required.

Professional Competencies:
- Strict adherence to processes, policies, and health & safety guidelines.
- Strong organisational and prioritisation skills amidst competing demands.
- Basic working knowledge of Microsoft 365 apps (Outlook, Teams, Excel).
- Ability to work independently and collaboratively, with adaptability to shifting priorities.
- Attention to detail for accuracy in all tasks.
- Clear, professional communication with peers, clients, and visitors.
Requirements
- An ability to physical labour in compliance with health & safety standards (e.g., moving equipment, organising meeting rooms).
- Willingness to Learn: No prior experience necessary—growth opportunities through onboarding and training.
Desirable Attributes:
- Experience in facilities, office support, or customer-facing roles.
- Hands-on familiarity with document services or reprographics workflows.
- Stock management or supply forecasting experience (e.g., stationery).
- Reception or front-of-house support in professional environments.
