Facilities Coordinator

Facilities Coordinator – J C M Property Ltd

J C M Property Ltd is seeking a hands-on Facilities Coordinator passionate about property management, repairs, decorating, and renovation projects. If you love hands-on work and enjoy ensuring premises run smoothly while overseeing assets, equipment, and site operations, this role is for you.

Job Purpose

To ensure the smooth running of all company facilities and assets across multiple sites, while managing inventory, maintenance, and operational efficiency. Responsibilities include accurate recording of equipment, furniture, and technical assets, as well as overseeing maintenance, renovations, and compliance with regulatory standards.


Responsibilities

Asset & Database Management

  • Compile and maintain a centralised database of all J C Michael Group’s equipment, furniture, devices, and physical assets.
  • Accurately track location, usage, and condition of company assets for distribution to new offices or projects.
  • Manage inventory stock takes, движения and retirement of assets.

Property & Site Operations

  • Oversee multi-location and property management, including relocation of items between brigades.
  • Ensure archives are safe, secured, and can be rapidly transferred across locations.
  • Source, manage, and maintain new sites, buildings, and properties.
  • Liaise with contractors, security, cleaning, parking, and technology providers to manage service agreements.

Maintenance & Compliance

  • Monitor CCTV operations across all branches.
  • Oversee contract renewals and vendor management for services such as security and utilities.
  • Ensure compliance with government regulations, including Health & Safety, fire, security, and environmental standards at all facilities.
  • Conduct annual Health & Safety reviews of assets, including fire extinguishers, first aid boxes, and emergency equipment.
  • Service and maintain HVAC systems (air conditioning units), IT equipment, office furniture, utility devices (fans, fridges), and building infrastructure.
  • Schedule scheduled maintenance for software, utilities (BT, water, gas), and electrical systems.

Miscellaneous Tasks

  • Oversee building renovations and refurbishments, reporting progress and issuing payments to contractors.
  • Set up new offices with all necessary equipment, lighting, and systems.
  • Manage fleet care, including hire purchase and purchase agreements.
  • Organise logistical support for staff transfers, relocations, and internal office moves.
  • Procure PPE (Personal Protective Equipment) for applicable sites.
  • Track and report office energy consumption to identify savings and efficiencies.
  • Manage stationery and office consumables procurement, ensuring cost-effective solutions and efficient restocking.
  • Coordinate new hires’ setup, ensuring they receive the required equipment and stationery.

Requirements & Skills

Personal Attributes

  • Ideally certified as a First Aider or Fire Marshall.
  • Strong awareness of Health & Safety, environmental sustainability, and *regulatory compliance.
  • IT literate—comfortable using virtual collaboration tools (VC/VC), devices (smartphones, tablets, etc.), software updates, and office automation tools.
  • Excellent communicator, capable of building rapid rapport with colleagues and external clients.
  • Attention to detail—minimises errors in recording, inventories, and documentation.
  • Strong client-focused customer service skills.
  • Exceptional organisational and administration skills with a proactive, hands-on approach.
  • Proven ability to execute—detailed-oriented with direct impact on operations.

Experience & Qualifications

  • Prior experience in construction, property management, maintenance, building trades, painting, decorating, or renovation work preferred but not essential.
  • Full UK driving license is essential.
  • Prior experience with cleaning, security, or logistical coordination industries is a bonus.
