Facilities Coordinator – International Law Firm
City of London Salary: £40,000 – £42,000
About the Role
A leading international law firm based in the City is seeking a Facilities Coordinator to join their team.
Key Responsibilities
- Enter and manage facilities service requests
- Regularly walk the floor to assist employees and address facilities issues on-demand
- Report maintenance issues to vendors, ensuring all are logged, tracked, and resolved
- Work alongside the Facilities Manager to prioritise reactive tasks while maintaining project workloads
- Oversee office moves, ensuring they are carried out correctly and on time with the wider facilities team
- Provide new joiners with proper office set-up and assist departing employees with possessions removal
- Support furniture set-ups and room reconfigurations in meeting spaces as needed
- Update internal documentation, including:
- Health & Safety files
- Fire safety checklists
- Purchase orders
- Monitor and report equipment defects, including:
- Lighting
- Water leaks
- Blind controls
- HVAC
- General maintenance & repairs
- Carry out basic repairs to facilities and furnishings, and perform troubleshooting
- Assist in supervising contractors
- Help organise:
- Regular health & safety inspections
- DSE evaluations
- Risk assessments
- Manage all supplier contracts, including M&E (Mechanical & Electrical) and cleaning services

Person Requirements

- At least 3 years’ experience in a facilities role
- Excellent organisational and time-management skills
- Ability to work in a fast-paced, high-pressure environment whilst maintaining professionalism
- Must prioritise tasks effectively
- Proficiency in paperwork handling and record-keeping
- Ability to perform physical duties (e.g., moving furniture, basic repairs)
- Ability to work independently or as part of a team
- Strong attention to detail, accuracy, and discretion for sensitive matters
- Fluent oral and written communication
- Outstanding customer service skills, with the ability to interact professionally and discreetly
- Desirable: Previous experience in a law firm or corporate environment
- Desirable: Knowledge of health & safety at work requirements and building services
- Desirable: H&S qualifications (e.g., IOSH)
- Desirable: Membership of the IWFM or relevant IWFM qualifications
