About the Team / Business Area:
The Property & Facilities team is responsible for managing and maintaining the organisation’s property portfolio across the UK. The team ensures our workplaces are safe, compliant, efficient, and provide an excellent environment for colleagues and visitors. Working closely with internal stakeholders, landlords, contractors, and service providers, the team plays a key role in supporting day-to-day business operations and delivering workplace improvements that enable our people to perform at their best.
About the Role:
This is an exciting opportunity to join our Property & Facilities team as a Property & Facilities Coordinator. You will support the effective day-to-day management of our property portfolio and facilities services, ensuring buildings remain safe, compliant, well-maintained, and aligned to operational business needs. Operating with a high degree of autonomy, you will take ownership of site issues, coordinate maintenance activities, and ensure continuity of service across multiple locations. The role offers a broad range of responsibilities, providing exposure to facilities operations, compliance management, contractor coordination, project support, and workplace improvement initiatives.
Key Responsibilities:
- Coordinate planned and reactive maintenance activities across the property portfolio
- Act as the first point of contact for building-related issues, ensuring queries are logged, tracked, and resolved effectively
- Liaise with landlords, managing agents, contractors, and internal stakeholders
- Maintain accurate property and asset records, including leases, drawings, and compliance documentation
- Independently assess site issues, determining appropriate actions and escalating where necessary to minimise disruption to business operations
- Take ownership of issue resolution across multiple sites, including when working remotely from line management
- Support compliance with statutory requirements including fire safety, asbestos management, legionella control, and electrical safety
- Monitor certification schedules and ensure inspections and compliance activities are completed on time
- Assist with risk assessments, audits, and health and safety reporting
- Coordinate contractor access, permits to work, and site induction requirements
- Raise purchase orders and process invoices in line with company procedures
- Monitor contractor performance and provide recommendations for improvement where appropriate
- Assist with tracking property and facilities expenditure and preparing operational reports
- Support tendering exercises, contract renewals, office moves, refurbishments, and workplace improvement initiatives
- Lead smaller-scale projects from planning through to successful delivery

You are highly organised, comfortable managing multiple priorities, and capable of making informed decisions in a fast-paced operational environment. You build strong working relationships with stakeholders at all levels and take pride in maintaining safe, compliant, and effective workplaces that support business success.

Key Skills, Experience & Qualifications:
- Experience in a property, facilities, estates, or building management role
- Good understanding of UK facilities management and compliance requirements
- Strong organisational and prioritisation skills with the ability to manage multiple tasks simultaneously
- Confident communicator with excellent stakeholder management skills
- Proficient in Microsoft Office applications, including Excel, Word, and Outlook
- Demonstrable experience independently managing site issues and operational challenges
- Experience identifying problems, diagnosing root causes, and implementing effective solutions with minimal supervision
- Ability to work autonomously while contributing effectively as part of a wider team
- Experience supporting contractors, suppliers, and external service providers
- Knowledge of health and safety legislation and facilities compliance best practice would be advantageous
