BAJ is a leading Ghanaian indigenous company that provides end to end logistics solutions at all sea and air ports to and from the world. We provide all round logistics solutions as a one stop shop for all your Logistics needs. We are based in Accra, Takoradi and Tema.

We have vacancy for the role of FACILITIES MANAGER and invite results-oriented, self-motivated and qualified persons to apply. The role reports to the Chief HR & Admin Officer and is located at Tema.

KEY ROLES & ACCOUNTABILITIES

  • Ensure that the facilities in all branches (Accra, Tema and Takoradi) are fully operational with all utilities functioning properly.
  • Schedule and supervise maintenance repair work and assist with checking installation and servicing building equipment in the various facilities in all Baj operational locations.
  • Source for tenants to occupy the free spaces and ensure they are accorded professional and prompt services.
  • Tenant management to ensure tenants obtain the best services.
  • Maintain ongoing communication with contractors, clients, and team.
  • Manage outsourced facilities management duties and activities – cleaning, security, gardening etc.
  • Establish and administer policies and procedures for office events.
  • Coordinate and manage office activities and events with other departments and external clients.
  • Prepare and implement annual budget for the buildings use and facilities maintenance.
  • Update and maintain usage records and invoice tenants and clients accordingly.
  • Maintain accurate records of equipment functioning status and other systems in the buildings.
  • Develop schedule for regular evaluation of facilities and implement these and also evaluate for improvement.
  • Develop policies and procedures on issues affecting usage supplies and facilities.
  • Initiate interventions to solve problems in the facilities.
  • Inspect buildings’ structures to determine the need for repairs or renovations.
  • Control activities like parking space allocation, waste disposal, security for the buildings and grounds.
  • Allocate office space according to needs.
  • Ensure insurance plans for facilities related items and service contracts are in place.
  • Manage the teams that work with the facilities manager, support in their recruitment and responsible for appraisal of team members.
  • Comply & operate in line with relevant legislation, Company policy and Company procedures.
  • Provide assistance in the identification of root causes of problems including those raised in initial review, risk assessments, 1st, 2nd & 3rd Party audits, incident reports and general operational problems and actively contributing to the implementation of corrective and preventive actions to prevent recurrence.
  • Keep & maintain the required standards of housekeeping.
  • Responsible for asset management and disposal.
  • Responsible for the company’s archival of record duties.
  • Responsible and ensure that all records within the section are legible, properly identified and stored in a manner that protects them from damage and make them readily retrievable.

QUALIFICATION AND EXPERIENCE

  • A degree in management, civil engineering or business studies from a recognized university.
  • Master’s degree in facilities management shall be an added advantage.
  • Five (5) years experience in facilities management with two years at supervisory capacity.
  • Experience in working in a corporate setting with a proven track record.
