About the Role

In this Facility Lead role within our UK Facilities & Real Estate team, you’ll shape the experience of individuals across our Bristol office.
Sitting at the forefront of our client-centric operations, this position is central to ensuring a welcoming, efficient, and safe environment for employees and visitors. Whether coordinating reception services, managing maintenance, or supporting sustainability initiatives, your work directly enhances the daily experience of our workplace community.

Key Responsibilities
Front of House & Reception
- Serve as the face of our Bristol office, greeting visitors and managing reception services.
- Coordinate mail, courier, and offsite archive storage for seamless office operations.
- Ensure meeting rooms are ready, maintaining it an organised and professional appearance.
- Work collaboratively with colleagues or operate solo, depending on business needs.
Facility Management
- Handle day-to-day facility-related tasks such as:
- Office maintenance coordination and contractor liaison.
- General space management and furniture reconfiguration.
- Health, safety, and sustainability initiatives.
- Physical changes within the office in partnership with the Workplace team.
- Maintain and update Facilities data in line with global operational standards.

Administrative & Financial Support
- Process invoices and manage local office overhead budget.
- Support financial reporting, attending meetings and providing input for annual business planning.
- Act as the onsite liaison for building management, vendors, and contractors.
- Manage leasing-related documentation, including real estate commitments, notices, and subleases.
Sustainability & Compliance
- Contribute to the Office Sustainability Plan and environmental action projects.
- Ensure compliance with health, safety, and ergonomic standards.
- Support Global Security & Resilience, including ID management, access control and emergency protocols.
People & HR Support
- Assist with new hire inductions, particularly on health, safety and environmental policies.
- Provide day-to-day support for HR requests (e.g., office-wide communications).
- Align with Jacobs’ culture of care, inclusion, and belonging by fostering a positive workplace environment.
Requirements
Essential Qualities
- Strong communication skills – Proven ability to engage with internal and external stakeholders at all levels.
- Self-motivation and initiative – Ability to handle a dynamic workload with resilience and adaptability.
- Flexibility and multitasking – Comfortable juggling front-of-house tasks with facility management responsibilities.
- Physical capability – Capable of lifting, bending, walking, and prolonged desk/sitting duties (in line with UK HSE guidance).
- Customer-service mindset – Commitment to delivering a positive experience for employees, clients, and visitors.

Desirable Experience
- Previous roles in Facilities, Reception, Real Estate, or similar operations environments.
- Experience with office administrative systems and leasing documentation.
- Familiarity with health & safety, sustainability, or workplace continuity frameworks.
Training & Support
- Full onboarding and on-the-job training provided, with a focus on hands-on learning.
