The Field Service Coordinator is responsible for the day-to-day coordination and administration of field service activities across the Industrial department.
The role focuses on operational delivery such as scheduling engineers, preparing documentation, organising logistics, and supporting customer communication to ensure field service work is executed safely, efficiently, and in line with company procedures.
Key Responsibilities
Service Planning & Coordination
- Schedule field service engineers for installation, commissioning, maintenance, and reactive call-outs.
- Maintain engineer diaries and allocate work based on availability and priority.
- Acknowledge customer orders and confirm scope and service dates.
- Track job progress and update internal systems accordingly.
- Escalate scheduling conflicts or resource issues to management when required.

- Arrange site access and confirm attendance details with clients.
- Coordinate delivery of equipment and materials to site locations.
- Provide customers with service visit confirmations and job reports.
- Act as first point of contact for routine service queries.
Documentation & Compliance
- Prepare and issue risk assessments and method statements for site activities.
- Ensure compliance with ISO 45001 and relevant national safety standards.
- Review engineers’ job sheets and coordinate remedial actions and quotations.
- Maintain accurate job records within ERP/service management systems.
Logistics & Resource Management
- Raise purchase orders for spare parts and arrange dispatch to engineers.
- Coordinate calibration of tools and test equipment as required.
- Support management of van stock records.
- Organise remedial quotations following engineer reports.
Financial & Administrative Support
- Raise monthly claims and invoices for completed work.
- Raise Purchase orders where required
Key Tasks
- Acknowledgement of orders.
- Issue method statements / risk assessments for site activity.
- Arrange site access for field service activities
- Diary management of field service engineers and installation team
- Arrange purchase of spares and despatch to field service engineers
- Organise planning/programming of field service activities.
- Review engineers job sheets and organise remedial action and quotations.
- Issue of job reports to clients.
- Raise monthly claims/invoices.
- Maintaining engineers van stock and calibration of test / Installation equipment.

Qualifications & Experience
- Minimum of 5 GCSEs (or equivalent), including Maths and English.
- Experience in service coordination, engineering support, or project coordination.
- Experience working within a technical, engineering, industrial, or gas transmission environment preferred.
- Familiarity with health & safety documentation and compliance processes.
- Experience using ERP systems and Microsoft Office.

- Ability to manage multiple active jobs simultaneously.
- Clear and professional communication skills.
- High attention to detail and accuracy in documentation.
- Customer-focused with a practical, problem-solving approach.
- Able to work independently within defined processes and escalate when necessary.
