Dwelly — a UK-based, AI-enabled lettings and property management platform, that is growing through a roll-up strategy acquiring estate agencies. The company leverages two arms: i) acquiring existing letting agencies, effectively buying its highly sticky, recurring revenue-type landlords portfolios, and then ii) building a top-notch technology to automate tenant management, payments, and post-rental property maintenance. The company seamlessly integrates AI services to automate all business processes within brick-and-mortar real estate agencies, integrating them into a tech-enabled digital letting platform in two months to radically improve the user experiences and increase efficiency of the business.

Position Summary
We're looking for a detail-oriented Finance Administrator to own the end-to-end payments and client accounting function for our residential lettings portfolio. You'll sit within our Finance Operations team, processing high volumes of rent and service charge receipts, running Direct Debits and payout files, managing accounts payable, and keeping client ledgers reconciled and clean.
Key Responsibilities:
Process and allocate incoming rent and service charge receipts from tenants and landlords. Run payment operations: Direct Debits, refunds, agency fees, and payout files; ensure approvals are followed. Reconcile client bank accounts to internal ledgers/systems and investigate discrepancies quickly. Manage accounts payable for contractor/supplier invoices and utilities, ensuring correct coding to properties/portfolios. Maintain accurate financial records at property and landlord level (income, expenses, arrears). Support arrears and credit control: chasing cadence, landlord updates, payment plans, and escalation support where required. Respond to landlord and tenant queries on balances, statements, payments and arrears. Produce/support monthly and quarterly reporting for landlords, owners and asset managers. Work closely with property managers and lettings teams on move-in funds, holding deposits, deposit scheme flows, and operational queries. Support audits by maintaining clear documentation and a strong control environment. Improve processes and document SOPs to reduce errors and manual work.

Qualifications & Preferred Background:
3+ years in a finance/payments operations role at residential lettings with high transaction volumes. Strong Excel (filters; comfortable working with large datasets). Strong problem solving ability - ability to independently investigate reconciliation issues, miss routed payments etc Experience with accounting software and operational finance tools (e.g., Xero/Sage/QuickBooks or similar). Proven reconciliation capability (bank-to-ledger, break investigation, clean close habits). High attention to detail and ability to work to tight deadlines in a fast-changing environment. Strong written and verbal communication with customers (landlords/tenants) and internal stakeholders.
