As part of our ambitious growth plans, we are seeking a Finance Administrator to join our team based at Hawkesyard Hall in Armitage.

ROLE OVERVIEW

This is an exciting opportunity to provide vital finance support to our directors and operations team. The ideal candidate will have experience in a similar role, with a background in financial services being advantageous but not essential.

KEY RESPONSIBILITIES

Bookkeeping

  • Maintain accurate day to day bookkeeping in Xero including:
    • Bank reconciliations
    • Posting fee income from Intelligent Office
    • Recording expenses, accruals and payments.

Manage accounts receivable/payable

  • Raise invoices where applicable
  • Monitor debtor balances and aged debt.

Perform regular balance sheet reconciliations

  • Bank accounts

  • Accruals

  • VAT

  • Corporation Tax

  • Capital adequacy requirements

  • Payroll

  • Work with external accountants to support month-end and year-end close processes including accruals and deferrals.

  • Support audit process:

    • Provide evidence of controls and reconciliations
    • Demonstrate linkage between IO and Xero.

Intelligent Office (IO)

  • Ensure platform/provider data matches IO client records.
  • Run fee statement reports.
  • Import platform/provider fee statements (e.g., platform exports, custodians).
  • Perform reconciliation between IO and provider/platform statements.
  • Identify and investigate discrepancies:
    • Missing assets or valuations
    • Incorrect fee rates
    • Timing mismatches.
  • Maintain reconciliation logs and audit trails.
  • Post reconciled fees into accounting systems.
  • Monitor:
    • Revenue completeness
    • Accrued vs received fees.

Reporting

  • Produce regular management reports on:
    • Revenue by adviser
    • New business by client and value
    • Income types – ongoing vs initial.
  • Provide final, reconciled revenue figures for FCA returns (e.g. RMAR income figures).
  • Map internal revenue categories to FCA reporting categories.
  • Ensure consistency between:
    • Statutory accounts
    • Management accounts
    • FCA submissions.

Administration

  • Provide high quality administrative support to the wider team as required.
  • Handle incoming calls, emails and correspondence in a professional and compliant manner.
  • Assist with the preparation, formatting and distribution of client and internal documents in line with company and regulatory standards.
  • Maintain accurate and up to date records, ensuring compliance with data protection and financial regulations.
  • Support the management of confidential and sensitive client information with discretion and integrity.

REQUIRED SKILLS AND EXPERIENCE

  • Strong working knowledge of double-entry bookkeeping, accruals and reconciliations.
  • Experience using accounting software, (ideally Xero).
  • Proficiency in Microsoft Office applications, with the ability to learn new systems quickly.
  • Familiarity with CRM software, (preferably Intelligent Office).
  • Strong time management and organisational skills.
  • Excellent written and verbal communication skills.
  • High level of accuracy and attention to detail with the ability to extract and analyse data and identify discrepancies.
  • Ability to work effectively under pressure.

SUMMARY

  • Employment type: Full-time (37.5 hours per week)
  • Location: Office-based, Armitage
  • Salary: Dependent upon experience
  • Reporting to: Directors
