Job Description
The Finance and Administration Manager will oversee financial reporting, operational accountability, and administrative efficiency at the UK depot. You’ll support forecasting, credit control, payroll, and HR, while ensuring smoother office operations and stakeholder engagement.
Key Responsibilities
Accounts
- Produce monthly Management Accounts for the Depot (once qualified)
- Manage monthly accruals and journals (expense reconciliation)
- Work with credit control to track and manage bad debts
- Provide accurate forecasting and annual budget preparation
- Analyse variances vs. budget, offering actionable recommendations
- Stakeholder management to ensure alignment with business requirements
- Report financial data as needed (audit compliance, management discussions)
- Interact with SAP, PRIMSA, and Webcycle for financial and operational processes
- Support internal and external audits with accurate documentation

Office & Operational Administration
- Accurately record employee hours (overtime, holidays, absences) for payroll & HR
- Issue purchase orders via SAP and verify invoice matching
- Update depot pricing (paper/plastic) on PRIMSA monthly
- Maintain office efficiency, including stationery, canteen supplies, and PPE ordering
- Lead the team to ensure monthly admin tasks:
- Confirm weights/quality for invoicing
- Process third-party vendor payments
- Develop and improve administrative procedures
- Undertake ad-hoc duties as directed by line management
People & Performance Management
- Oversee administrators and operational staff in collaboration with the Depot Manager
- Handle performance management, appraisals, and payroll
- Address HR issues while maintaining a positive work environment
Recommended Personal Profile
Qualifications
- Bachelor’s Degree in Finance (or equivalent)
- Advanced finance qualification (e.g., ACCA, CIMA – fully qualified or in progress)
Experience
✅ Essential
- Managing a small team across all business functions
- Proven experience in forecasting & financial forecasting
- Credit control experience in commercial environments
- Strong analytical skills with attention to detail
- Excellent communication (written & verbal)

Technical Skills
- Proficient in Microsoft Office applications
- Experience with SAP, PRIMSA, and speciality payroll systems
