đŸ”„Why This Role Is SO Important:

We’re looking for a Finance Assistant to play a crucial role in supporting our Financial Controller with the day-to-day running of the UK group transactional finance function across three companies. This is a role for someone who loves accuracy, thrives on deadlines, and takes real pride in keeping the finance engine running smoothly.

The Finance Assistant role is central to making sure our financial processes are accurate, timely, and well controlled. You’ll be right in the detail of daily reconciliations, invoice processing, supplier and customer queries, expenses, and monthly deadlines, while also helping the wider finance team improve processes and strengthen financial controls.

Key Duties & Responsibilities

Let’s be clear from the start: this isn’t a passive admin role. You’ll be at the heart of the day-to-day finance operation, keeping things accurate, moving, and under control. You’ll need to be organised, proactive, and confident juggling multiple priorities while maintaining high standards.

  • Driving Daily Accuracy: Reconciling company bank accounts in Xero, including Stripe, and ensuring new customer direct debits are activated every day.
  • Owning Key Reconciliations: Managing monthly reconciliation of GoCardless direct debits in transit and processing ad-hoc monthly invoices and credit notes to deadline.
  • Supporting Revenue Collection: Processing and reconciling monthly self-billing invoices for partner customers and carrying out proactive credit control for both direct and partner customers.
  • Keeping Supplier Processes Moving: Ensuring purchase orders and invoices are processed accurately and on time using ApprovalMax and Xero, while acting as the main point of contact for supplier PO and invoice queries.
  • Responding With Clarity: Handling customer, supplier, and internal finance queries via Slack and Intercom in a timely and professional way.
  • Managing Expenses and Cards: Processing company credit card transactions and staff expenses via Pleo, making sure nominal and VAT codes are accurate.
  • Supporting Wider Finance Activity: Processing quarterly charity donations for eligible Breathe charity customers, supporting improvements to finance processes and controls, and helping with ad-hoc projects as needed.
  • Ensuring Compliance: Maintaining awareness of and being compliant with information security protocols in relation to your job role and handling of any data.

  • You can thrive in a busy environment: Previous finance assistant experience is preferred, and experience working in a fast-paced SME finance team would be a real advantage.

  • You know your tools: Xero experience would be advantageous, and strong Excel spreadsheet skills are important for success in the role.
