Being a Finance Assistant at Privalgo
As a Finance Assistant at Privalgo, you will play an important role in supporting the smooth running of the Finance team and the wider business. This is a broad finance support role suited to someone who has experience in a finance department, in bookkeeping/bookkeeping support, accounts admin, or a similar operational environment. The role provides exposure across day to day finance operations and offers an excellent opportunity to build a long term career within finance.
You do not need to be a qualified accountant, but you should be organised, reliable, accurate, and comfortable working with numbers, systems, and deadlines. You will be trusted to keep finance processes moving, maintain clear records, follow up on outstanding actions, and support the Finance team with day to day priorities. Ideally have a minimum of 1 year's experience in a finance department.
We are looking for someone who enjoys variety and is happy to get involved across purchase ledger, sales ledger, supplier and client administration, reconciliations, credit control support, data entry, inbox management, and reporting support. You will need to be proactive, detail focused, and willing to ask questions when something does not look right.
You will work closely with the Finance Director and wider team, who will provide guidance, coaching, and context. In return, we expect someone who takes ownership of assigned finance tasks, communicates clearly, follows processes carefully, and looks for practical ways to improve how work gets done.
This role is well suited to someone who wants to build a career in finance within a fast moving, scaling company. You will be encouraged to learn, develop confidence, and grow your understanding of finance processes, controls, reporting, and systems over time.
Objectives for the Role (6-12 months)
- Support the Finance team with accurate and timely processing of routine finance tasks, including invoices, supplier administration, client records, payment support, finance inbox management, and expenses management.
- Help maintain clear, organised, and audit ready records across finance folders, shared drives, inboxes, supplier documents, reconciliation support, regulatory reporting support, and internal trackers.
- Assist with daily, weekly, and monthly finance processes, including bank reconciliation preparation, ledger checks, data validation, balance sheet support schedules, and follow up of missing information.
- Support month end close activities, management reporting preparation, and finance control processes by collating information, checking completeness, and escalating issues promptly.
- Take ownership of allocated finance processes and ensure they are completed accurately, consistently, and within agreed deadlines.
- Build confidence in Privalgo’s systems, processes, people, and ways of working, becoming a reliable point of support for routine finance queries.
- Contribute to process improvement by identifying recurring issues, suggesting simple efficiencies, and helping to keep procedure notes and checklists up to date.

Key Responsibilities:
Finance administration
- Process purchase invoices and assist with supplier payment runs, expense management, approval tracking, supplier administration, and routine finance queries.
- Assist with sales ledger administration, customer invoicing support, client records, finance inbox management, and maintaining supplier and customer information.
- Support the preparation and posting of accounting journals where required.
Reconciliations and controls
- Prepare and perform daily and monthly bank reconciliation tasks, including checking supporting information and transaction references.
- Investigate reconciliation differences, maintain supporting schedules, and escalate unresolved issues promptly.
- Assist with balance sheet reconciliations and finance control checks as required.
Credit control and follow-up
- Support debtor follow up activity by sending reminders, maintaining trackers, and escalating overdue or unclear items.
- Assist in monitoring aged debtors, cash collection performance, and client information completeness.
Reporting and data maintenance
- Maintain trackers, spreadsheets, checklists, and working files accurately and consistently.
- Support monthly management reporting, financial MI, regulatory reporting, and audit requests by collating data, checking completeness, and highlighting gaps or inconsistencies.
Office and team support
- Provide broader administrative support to the Finance Director and team, including meeting notes, internal coordination, and diary support where needed.
- Assist with supplier onboarding, internal records, and general office processes where these support the effective running of Finance.
Process control and improvement
- Follow agreed procedures carefully and help keep process notes up to date.
- Identify recurring issues, delays, or manual workarounds and raise practical improvement suggestions.
Experience and Background
This role is intended for a candidate with a minimum of 1 year's experience. The successful candidate may come from a finance background, bookkeeping support, accounts assistant, accounts payable, accounts receivable, finance operations, office administration, or similar finance support background.
- A minimum of 1 year experience in finance accounts assistant work, accounts payable, accounts receivable, or a similar role.
- Comfortable working with spreadsheets, email, shared folders, finance systems, business systems, and structured processes.
- Able to handle routine finance information with care, accuracy, confidentiality, and an awareness of process controls.
- Experience processing, checking, filing, reconciling, or reporting financial information would be helpful, but full training will be provided on Privalgo specific processes.
- A practical, hands on approach and willingness to support all finance tasks, including broader administration where required.

- Core finance tasks are completed accurately, consistently, and within agreed timeframes.
- Bank reconciliations, ledger administration, and finance control processes are supported effectively and completed to a reliable standard.
- Month end support is provided effectively, with clear schedules, complete supporting information, and timely escalation of issues.
- Finance records, trackers, folders, and supporting documents are well organised, complete, and maintained to an audit ready standard.
- The Finance Director and wider team can rely on the role holder to follow up, keep processes moving, and communicate clearly.
- Issues, missing information, or unusual items are identified and escalated promptly rather than left unresolved.
- The role holder develops into a trusted member of the Finance team capable of independently managing allocated finance activities.
