Key Responsibilities
The Finance Manager is responsible for the day-to-day finance activities of Akshaya Patra UK, ensuring robust financial controls, accurate reporting, compliance with statutory and regulatory requirements, and effective financial support for organisational decision-making.
This is a sole finance role responsible for the end-to-end delivery of the charity’s finance function, while also providing HR administrative support. Working closely with the Director of Finance and Operations, the postholder will prepare management accounts and financial reports, support budgeting and forecasting, maintain financial records, coordinate payroll administration with the outsourced payroll provider, prepare audit schedules and supporting documentation, and ensure financial compliance.
They will also provide HR administrative support, maintain accurate personnel records, and coordinate employment-related documentation and payroll information. Working collaboratively with colleagues, the postholder will help ensure resources are managed effectively in support of the charity’s mission.
Financial Management and Reporting
- Prepare timely and accurate monthly management accounts and financial reports.
- Monitor income, expenditure, cash flow and reserves, identifying risks and opportunities.
- Support budget holders with financial monitoring and forecasting.
- Produce financial analysis and management information to support decision-making.
- Assist in the preparation of annual budgets, forecasts and financial plans.
Financial Control and Compliance
- Maintain strong financial controls and ensure compliance with charity, company and financial regulations.
- Maintain financial procedures and ensure adherence to organisational policies.
- Complete balance sheet reconciliations and month-end processes.
- Ensure accurate accounting records are maintained at all times.
- Prepare supporting schedules and documentation for the annual audit and statutory accounts process.
- Assist with the implementation and review of financial policies and procedures.
Income, Payments and Treasury
- Administer accounts payable and accounts receivable processes.
- Monitor banking activities, cash flow and liquidity requirements.
- Ensure income from donations, grants and other sources is accurately recorded and reconciled.
- Process and authorise payments in accordance with delegated authority levels.
- Administer credit card, expense and supplier payment processes.

Payroll and HR Administration
- Coordinate monthly payroll administration and act as the primary contact for the outsourced payroll provider.
- Ensure payroll, pension and statutory deduction information is submitted accurately and on time.
- Maintain payroll records and support annual payroll reporting requirements.
- Maintain accurate employee records, personnel files and HR documentation.
- Administer employee contracts, contractual changes and leave records.
- Coordinate employment-related documentation and onboarding administration.
- Liaise with external payroll providers regarding employee-related matters.
- Support payroll administration by ensuring employee information is accurate and up to date.
Audit, Risk and Governance
- Act as the primary contact for auditors on day-to-day finance matters.
- Prepare audit schedules and supporting documentation.
- Support compliance with charity accounting requirements, including the Charities SORP.
- Assist with risk management and internal control reviews.
- Contribute to Trustee and committee reporting as required.
Systems and Process Improvement
- Maintain and develop financial systems and reporting tools. Identify opportunities to improve efficiency, controls and financial processes.
- Support system implementations and finance-related projects.
- Promote best practice in financial management across the organisation.
Finance Support
- Build effective relationships with colleagues across the charity.
- Provide financial guidance and support to budget holders and project leads.
- Deliver financial training and advice to non-finance staff where required.
- Support fundraising, operational and programme teams with financial information and analysis.
Person Specification
Essential Experience
- Qualified accountant (ACA, ACCA, CIMA, CIPFA) or qualified by significant experience.
- Experience managing day-to-day finance activities within an organisation.
- Experience preparing management accounts, budgets and forecasts.
- Experience of financial controls, reconciliations and audit preparation.
- Experience using accounting software and financial reporting systems.
- Experience supporting non-finance managers with financial information.
- Experience working independently and managing a broad range of finance responsibilities.

- Experience supporting organisational growth, change or systems improvement.
