About the Role
The Accounts Payable Administrator ensures accurate processing and management of all invoices, bills, and payments. Responsibilities include adherence to council policies, timed payments, and seamless communication with vendors and internal stakeholders.
Key Responsibilities
Master Data Administration
- Create supplier records from online and offline requests.
- Update supplier details based on service area requests.
- Conduct due diligence on new supplier requests.
- Liaise with service areas for supplier creation and amendments.
Invoice Scanning
- Verify and process invoices in the scanning solution.
- Complete ‘handshake’ for new supplier invoice templates.
- Validate invoices against business rules and No PO no Pay policy.
- Extract and escalate invalid/incorrect documents with relevant software partners.
- Contact suppliers/requisitioners to resolve invoicing concerns.

Purchase & Contracts Administration
- Create, amend, and maintain Blanket Purchase Agreements and contracts.
- Manage purchase orders.
- Review, verify, and approve invoices for accuracy and completeness.
- Perform goods receipt matching for invoices processed into the system.
- Resolve invoice discrepancies and ensure proper documentation/approvals.
Payment Processing
- Process timely and accurate vendor, supplier, and employee payments.
- Verify payment terms, discounts, and scheduling for optimal cash flow.
- Maintain payment records compliant with policies and regulations.
Vendor Management
- Build and maintain relationships with vendors.
- Resolve inquiries/payment issues professionally and promptly.
- Conduct vendor reconciliations to confirm payment accuracy.
Month-End Closing
- Assist in month-end reconciliations and financial reporting.
- Participate in audits by providing documentation when required.
Recordkeeping & Reporting
- Organise and update accounts payable records.
- Generate and analyse reports to monitor performance/trends.
Compliance & Policies
- Ensure adherence to council policies, accounting standards, and regulations.
- Support the development of updated AP policies.
Collaboration
- Work closely with Procurement, Finance, and Operations for efficient processes.
- Contribute to projects/process improvements in accounts payable.
