The Academy of Medical Sciences – Finance Officer
The Academy of Medical Sciences – the independent, expert voice of biomedical and health research in the UK – is seeking a Finance Officer. The Finance Officer will ensure that all financial transactions are accurately recorded on a timely basis for the charity and its trading subsidiary, while providing accurate and timely information to a range of stakeholders.
Key Responsibilities
- Maintaining the accounting records (purchase, sales and nominal ledgers) for the Academy and its trading subsidiary using the finance system (Iplicit) and assisting with the reconciliation of control accounts and production of the monthly trial balance.
- Preparing monthly standard journals, including accruals and prepayments, and supporting the production of other period-end journals as required.
- Maintaining the purchase ledgers by processing purchase invoices, expense claims and BACS payments, while assisting staff with purchase invoice and expense queries.
- Ensuring authorisation limits are followed through purchase orders and maintaining the purchase order log.
- Preparing sales invoices under funding arrangements, monitoring fellowship records, invoicing subscription fees in a timely manner and responding to fellowship finance queries.
- Monitoring income and donations, ensuring they are accurately reflected on the finance and CRM systems, and sharing information with relevant departments.
- Liaising with contract caterers, uploading conference sales information to the finance system and reconciling sales on a monthly basis.
- Monitoring receipts against invoices, assisting with credit control and supporting the FORUM staff group with invoicing, receipts and credit control information.
- Preparing banking details, banking income received, posting bank receipts and payments, and preparing bank reconciliations.
- Assisting with cash management, monthly budget holder reports, year-end accounts, audit documentation and VAT returns.
- Providing cover for the other Finance Officer and supporting meetings and events by providing expenditure and income information, preparing sales invoices and assisting with credit control.
- Supporting the Head of Finance with the continued optimisation of Iplicit and undertaking other duties appropriate to the role, including annual audit support.

Skills and Experience
- Educated to at least A Level or equivalent experience.
- Proficient in using financial systems.
- Demonstrable Excel skills and a sound working knowledge of Microsoft applications and database packages.
- Excellent verbal and written communication skills.
- Strong organisational skills with excellent attention to detail and numeracy.
- Experience of taking accounts to Trial Balance.
- Experience of charity accounting.
- Experience of using Iplicit.
- Ability to manage competing demands, prioritise workloads and manage time effectively.
- Ability to maintain high-quality standards and identify value-adding process improvements.
- Collaborative approach with the ability to build positive working relationships across teams.

Salary
£35,560 per annum.
Contract
Permanent, full-time (37.5 hours per week).
Location
London W1B 1QH (Hybrid – 50% office attendance).
