Rebecca Udall is a fast-growing global luxury homeware brand specializing in linens and artisan homeware. Firm believers in buying less, better and elevating the everyday. We are independently owned with a mostly direct-to-consumer, loyal customer base. It's a very exciting time to join the business as we scale-up: we have ambitious plans to be a leader in luxury homeware. As our business continues to expand, a new role has been created and we are looking for an organized and proactive Finance & Operations Coordinator or Administrator to support our day-to-day finance and supply chain operations.
This is an excellent opportunity for someone who enjoys working across multiple functions, has strong attention to detail, and thrives in a dynamic environment.
Role Overview
As Finance & Operations Coordinator / Administrator, you will play a key role in ensuring the smooth flow of financial administration and inventory logistics. Working closely with our finance, buying and operations teams, you will play a pivotal role in supporting the business operationally. This is a full-time position Monday to Friday 8.30am - 4.30pm with half an hour's lunch at our Head Office in Malton, North Yorkshire.
Key Responsibilities
Finance
- Prepare and issue invoices for wholesale and marketplace customers accurately and on time
- Upload, verify and process invoices for payment
- Maintain accurate financial and operational records including cost analysis, trackers and pricing spreadsheets for secondary transport, primary transport & other P&L areas
- Prepare and support reconciliation of purchase orders, invoices and shipping documentation
- Assist with month-end stock reporting and other administrative tasks as required
- Other supporting tasks as required

Operations & Logistics
- Arrange primary transport for inventory from suppliers to our warehouse
- Liaise with freight forwarders, suppliers and warehouse partners to coordinate inbound deliveries
- Book and manage inbound sample shipments from suppliers
- Monitor important shipments and proactively communicate delays or issues
- Ensure shipping documentation is complete and accurate
- Maintain delivery schedules and update internal systems
- Receipt inventory to system ready for payment
General
- Support continuous improvement of operational processes
- Ensuring the efficiency of investments (financial and time)
- Ensure a high level of accuracy and attention to detail
About You
We're looking for someone who is:
- Highly organized with excellent attention to detail
- Comfortable managing multiple priorities simultaneously and able to prioritize effectively
- Positive, can-do attitude
- A confident communicator who enjoys working with suppliers and internal teams
- Proactive, reliable and solutions-focused
- Numerate with good administrative skills
- Confident using Microsoft Excel and Microsoft Office
- Comfortable learning new systems and processes

Required Experience
3-5 years office experience in a finance, purchasing or operations admin role or more senior experience in finance and/or operations.
The right fit and attitude is important - full training can be provided for someone with the right skill set. Equally, someone can hit the ground running.
Desirable Experience
- Experience in supply chain, finance or purchasing/procurement
- Experience coordinating logistics
- Experience within retail, fashion, luxury goods or e-commerce
- Familiarity with ERP, inventory or accounting systems
