Eden Scott Partners with Edinburgh IFA Firm to Recruit Financial Services Administrator
Eden Scott is delighted to be partnering with a highly respected and growing Independent Financial Advice (IFA) firm in Edinburgh to recruit a Financial Services Administrator.
This is an excellent opportunity to become part of an established and successful wealth management firm, supporting Financial Advisers and Paraplanners in delivering outstanding financial planning solutions to a loyal and growing client base.
As a Financial Services Administrator, you will play a key role in supporting the client journey from initial enquiry through to policy implementation and ongoing reviews. You will work closely with Advisers, Paraplanners, and product providers, ensuring all administration is completed accurately, efficiently, and in line with regulatory requirements.
Key Responsibilities
- Processing new business applications across pensions, investments, ISAs, bonds, and protection products
- Obtaining policy information, valuations, illustrations, and provider documentation
- Preparing client review packs and supporting annual review processes
- Managing adviser diaries and coordinating client meetings
- Processing withdrawals, fund switches, top-ups, and policy amendments
- Monitoring business pipelines and proactively progressing cases through to completion
- Liaising with providers, platforms, and third parties to obtain information and resolve queries
- Ensuring all client records, back-office systems, and CRM databases are maintained accurately
- Supporting suitability report preparation and post-advice administration
- Producing client correspondence and documentation to a high professional standard
- Assisting with compliance checks, AML requirements, and regulatory documentation
- Tracking outstanding requirements and maintaining regular communication with clients and providers
- Providing an exceptional level of service and building strong client relationships
- Working collaboratively with the wider team to support business growth and service excellence

Person Specification
- Previous experience within Financial Services, Wealth Management, or an IFA environment
- Strong understanding of pensions, investments, and financial planning administration
- Excellent organizational and time-management skills
- High attention to detail and accuracy
- Strong communication and interpersonal skills
- Experience using financial services back-office systems would be advantageous
- Positive, proactive, and team-focused approach
