Position Overview
Position: Fit-out Project Coordinator
Location: London Office (Holborn). In Office required, not a remote position
Schedule: Full time (Mon - Fri, 8 am to 4:30 pm)
Salary: from £40k PA

We work directly with some of Korea's top beauty brands to offer an extensive range of over 2000 Skincare, makeup, hair and body products online and via our offline stores. Since 2019, we have been the go-to destination for UK K-Beauty enthusiasts online and offline, with 8K+ 5-star Trustpilot reviews!
As we continue to expand and open more offline stores, you'll play a key role in supporting the property team by overseeing the fit-out and maintenance processes for our K-Beauty stores and concessions across the UK.
Key Responsibilities
Project Planning & Coordination
- Assist with the tendering process by gathering quotes, organising documentation, and preparing information for stakeholder review.
- Support the coordination of store fit-outs from planning through to completion, including design, costing, construction, and store opening.
- Act as a point of contact for external suppliers (e.g. designers, contractors, joinery partners), supporting communication and follow-ups.
- Coordinate site visits and support travel arrangements where required during fit-out periods.
- Help track project timelines and flag any potential delays or issues to senior team members.
- Maintain and update project trackers, including CapEx trackers, dashboards, and related documentation.
- Provide regular updates to the Head of Property and wider team on project progress.
- Support snagging processes by coordinating follow-ups with relevant suppliers and ensuring issues are tracked and resolved.
- Assist in post-project reviews by gathering feedback and identifying areas for improvement.
- Maintain organised records of project documentation, including layouts, drawings, and specifications.

Finance & Maintenance Coordination
- Assist in monitoring project spend and highlighting any potential cost risks.
- Help organise and track invoices and ensure all payments are recorded accurately.
- Coordinate maintenance requests across stores, ensuring issues are logged, followed up, and resolved in a timely manner.
- Work closely with the retail and facilities teams to support ongoing store needs.
- Maintain and update internal databases relating to store requirements and orders.
- Assist with general departmental cost tracking and administrative support.
- Support the preparation of project budgets and financial tracking (CapEx/PDS/ROI where required).
