Fleet Administrator – HGV Division (Lancaster)

About the Role

We are the UK's top independent leasing, fleet management, and vehicle outsourcing business, and we’re excited to offer an incredible opportunity to join our expanding HGV division at Zenith.

Based at our Kirkstall Forge site, this Fleet Administrator role is diverse and rewarding. It blends customer service with operations, playing a crucial part in ensuring our clients receive repairs and services within agreed deadlines, while maintaining meticulous and accurate reporting across the business.

This is a key role that delivers exceptional customer service, manages relationships with repair agents and partners, and ensures seamless operations – all while operating under pressure and thriving in a collaborative team environment.

The ideal candidate is a self-starter with strong communication skills, attention to detail, IT proficiency, and excellent organisational abilities, committed to building lasting relationships and driving success every day.


Responsibilities

As a Fleet Administrator, you’ll be responsible for:

  • Liaising with repair agents – handling maintenance issues, updating systems with accurate details, and ensuring real-time record-keeping.
  • Driving efficient operations – entering accurate and timely job data, communicating status updates to external and internal stakeholders.
  • Customer satisfaction – closely tracking the resolution of breakdowns or emergency defects, providing updates, and escalating issues for swift resolutions.
  • Maintaining service obligations – reacting to emergency enquiries or client needs while adhering to operational procedures.
  • Recording and reporting – keeping comprehensive paper and electronic records, capturing key details from emails or calls, and updating job notes for transparency.

Requirements

To excel in this role, we’re looking for candidates with:

✔ Exceptional customer service skills, both verbal and written. ✔ Strong organisational ability – multi-tasking and proactive problem-solving. ✔ IT proficiency, particularly in database and CRM systems. ✔ Attention to detail – to maintain accurate records for reporting. ✔ Excellent communication – clearly and professionally engaged with internal/external partners. ✔ Resilience and adaptability – working under deadlines in a fast-paced environment.
