Fleet Administrator

Location: Chesterfield, S44 5HS (Hybrid/Office Based as required)
Shift Pattern: Monday to Friday 37.5 hours per week
Salary: Competitive

We are seeking an organised and proactive Fleet Administrator to join our Fleet team. Reporting to the Fleet Manager, you will play a key role in the day-to-day administration of ABM's vehicle fleet, supporting drivers, managers, suppliers, and external partners to ensure the fleet operates efficiently, compliantly, and cost-effectively.

Key Responsibilities

  • Maintain accurate vehicle, driver, and allocation records across fleet management systems.
  • Ensure all fleet databases, trackers, and spreadsheets are updated and accurate at all times.
  • Monitor fuel card usage and fleet inbox.
  • Administer driver licence checking systems and compliance requirements.
  • Manage congestion charge, toll, parking, and fleet accounts.
  • Process PCNs and notices of intended prosecution.
  • Monitor mileage records and produce fleet reports.
  • Support telematics and vehicle tracking systems.
  • Arrange vehicle collections, deliveries, and transfers.
  • Coordinate short-term hires and replacement vehicles.
  • Liaise with fleet management providers and suppliers.
  • Support vehicle insurance claims and accident management processes.
  • Raise purchase orders and process goods receipt notes.
  • Support FORS accreditation and fleet compliance activities.

Required Skills and Experience

  • Previous experience in a fleet administration role.
  • Knowledge of commercial vehicles and fleet operations.
  • Excellent organisational and communication skills.
  • Strong attention to detail and ability to manage deadlines.
  • Proficient in Microsoft Office, particularly Excel.
  • Experience with fleet management systems.

Desirable

  • FORS Practitioner qualification.
  • Knowledge of FORS requirements.
  • Experience supporting insurance claims and accident management.
