Fleet Administrator - VMU

Sustainability Administrator (Depot) – Berlin (or regional equivalent)

The Work

  • Location: On-Site (5 days/week)

Your Mission: Admin & Operational Support in a Depot

Support all administration and operational requirements within the depot, working alongside management to ensure seamless workflows. Your responsibilities include:

  • Daily Work Order Management:

    • Processing and validating work orders to the highest accuracy.
    • Addressing queries, tasks, and customer requests with professionalism and efficiency.
    • Assisting colleagues and customers daily while maintaining exceptional customer service.
  • Purchasing & Inventory:

    • Issuing purchase order (PO) numbers for required parts.
    • Managing stock receiving and storage, ensuring supplies are available when needed.
    • Authorising invoice payments while validating correctness.

  • Warranty & Compliance Support:

    • Handling warranty queries effectively.
    • Assisting in Daily APM (Aftersales Performance Management), invoicing, WIP (Work in Progress), and job cards to meet targets.
  • ERP & Analytics:

    • Maintaining accurate ERP system updates (e.g., R2C).
    • Reporting and analysing KPIs to support depot performance.

Your Requirements: Building the Future Today

You’ll thrive in this role if you have:

  • Academic Foundation:

    • Educated to GCSE level (Grade C or equivalent) in mathematics and English.
  • Industry & Administrative Knowledge:

    • Essential: Prior administrative experience (work order/invoice processing).
    • Desirable:
      • Experience in transport, automotive, or HVAC/refrigeration sectors.
      • Knowledge of ERP systems (preferably R2C).
      • Database management proficiency.
  • Technical Skills:

    • IT-literate with strong Microsoft Office/Excel skills.
    • Ability to handle financial documentation with accuracy.
  • Core Competencies:

    • Strong numerical ability and attention to detail.
    • Formidable verbal and written communication (internal + client interactions).
    • Fast-paced adaptability—prioritising tasks and meeting deadlines.
    • Methodical, systematic, and customer-focused, building effective relationships.
    • Self-motivated, with team collaboration and individual problem-solving skills.
