Administrative Apprentice – Depot Operations

Role Overview

Location: On-Site (5 days in depot) Work Type: Full-time apprenticeship position

We need a meticulous, detail-oriented Administrative Apprentice to support depot operations with admin excellence. Reporting to the Depot Manager, you’ll handle core administrative duties, ensuring daily workflows are seamless, data is accurate, and customer interactions are professional.


Key Responsibilities

Work Order & ERP Management

  • Process and validate work orders with high accuracy and precision
  • Update and maintain in-house ERP system records in real-time
  • Authenticate issued Purchase Orders (POs) and validate supplier invoices

Customer & Operational Support

  • Handle customer queries with a professional and solution-focused approach
  • Representatives to work alongside colleagues and Depot Manager in work order processes
  • Maintain excellent customer service for internal and external stakeholders

Inventory & Financial Processes

  • Manage stock levels (receiving parts into inventory)
  • Authorise payments for invoices
  • Approve warranty claims and manage documentation
  • Achieve daily invoicing/Work In Progress (WIP) targets
  • Statistical record-keeping for job card activities

Team & Relationships

  • Collaborate professionally and supportively with depot teams
  • Build strong relationships with customers, suppliers, and internal colleagues
  • Maintain controlled workflows within fast-paced A&P maintenance environment

What You’ll Bring

Essential Skills & Experience

  • Strong numerical and analytical ability, with top-tier attention to detail
  • Fluent maths and English (GCSE or equivalent, Grade C/4 or above)
  • Proven experience in administrative or customer service roles (desirable for mechanical/refrigeration interchangeable)
  • Proficiency in Microsoft Office Suite, particularly Excel, for report generation and future IT management
  • Outstanding written and verbal communication skills to interact with internal and external contacts
  • Familiarity with database or ERP systems (e.g., Y мапР2С, MODsys—easy training if new to these)

Technical & Sector Knowledge

  • Transport/automotive/refrigeration industry knowledge is desirable (but full training provided).
  • Background in mechanical or thermal systems (not essential but advantageous)

Soft Skills

  • Highly self-motivated and task-oriented, able to prioritise efficiently
  • Self-starting with a methodical, systematic approach to work
  • Frontline customer management expertise, enabling exceptional service
  • Comfortable working independently and as part of a collaborative team
  • Optimistic, growth-minded approach to learning
