Fleet & Compliance Coordinator
We’re looking for a reliable and proactive Fleet & Compliance Coordinator to support the Fleet & Compliance Manager in maintaining a safe, legal, and fully compliant operation across all areas of the business. The Fleet & Compliance Coordinator will be responsible for the day-to-day administration, monitoring, coordination, and delivery of compliance activities, ensuring the business remains audit-ready and operates in accordance with regulatory, customer, accreditation, and company requirements.
The role will act as the operational backbone of the Compliance function, supporting transport compliance, audits, investigations, training, records management, health and safety administration, fleet compliance, and company governance activities.
Main Responsibilities
Transport Compliance
- Maintain compliance with Operator Licence requirements.
- Monitor driver licence checks, CPC compliance, medicals, and right-to-work documentation.
- Monitor compliance with Drivers’ Hours and Working Time Regulations.
- Maintain accurate driver and vehicle compliance records.
- Support the management of OCRS performance and compliance-related KPIs.
- Assist in investigating compliance breaches and implementing corrective actions.
Fleet Compliance & Administration
- Coordinate fleet maintenance schedules, inspections, MOTs and servicing requirements.
- Manage defects, breakdowns and vehicle-off-road (VOR) processes.
- Administer vehicle registrations, tolling systems and fleet compliance portals.
- Ensure all vehicle documentation remains current and accessible.
- Maintain accurate compliance records for audits and inspections.
Audits & Accreditations
- Support the Fleet & Compliance Manager in maintaining continual audit readiness.
- Prepare audit evidence and supporting documentation.
- Assist with internal audits and compliance reviews.
- Maintain accreditation records and action trackers.
- Support compliance requirements relating to FORS, Earned Recognition, BRCGS, ISO9001, Planet Mark and any future accreditations.
Compliance Administration & Governance
- Maintain compliance calendars and statutory compliance schedules.
- Ensure company policies, procedures and compliance documentation remain up to date.
- Support the administration of disciplinary, investigation and compliance-related casework.
- Produce compliance reports, KPI dashboards and management information.
- Support the retention, control and management of compliance documentation.

Health, Safety & Security Support
- Assist with incident reporting, investigations and follow-up actions.
- Maintain health and safety records and compliance documentation.
- Support inspections, risk assessments and corrective action tracking.
- Assist with employee access controls and site security processes.
- Escalate significant risks, breaches or non-conformances to the Fleet & Compliance Manager.
Driver & Employee Compliance
- Support induction programmes for drivers and employees.
- Maintain training records and competency matrices.
- Coordinate refresher training and compliance communications.
- Support compliance investigations and fact-finding activities where required.
- Promote consistent standards and compliance best practice across the business.
Incidents, Claims & Investigations
- Assist in investigating vehicle incidents, claims, complaints and compliance breaches.
- Maintain investigation records and evidence files.
- Manage PCNs, roadside prohibitions, fines and notifications.
- Liaise with insurers, suppliers and third-party providers when required.
Continuous Improvement
- Identify recurring compliance issues and improvement opportunities.
- Monitor trends and support corrective and preventative actions.
- Assist in developing compliant, efficient and standardised business processes.
- Support the delivery of a right-first-time culture across the business.
Experience Skills
Essential
- Experience in transport, compliance, fleet administration, health & safety or operational compliance.
- Strong administrative and organisational skills.
- Excellent attention to detail.
- Ability to analyse information and maintain accurate records.
- Proficient in Microsoft Office including Excel, Word and Outlook.
- Ability to work independently and manage multiple priorities.
Desirable
- OLAT qualification.
- FORS or Earned Recognition experience.
- Experience supporting audits and accreditations.
- Class 1 HGV licence.
- Knowledge of Operator Licence compliance requirements.

Working Hours and Package
- Full-time permanent role 45 hours per week with 30 minute lunch break working predominantly Monday to Friday. Working 06:00 - 15:00hrs (but can be discussed) however, some flexibility will be required due to the nature of the role and this could change dependent on business needs.
