We’re also the number one owner and operator of e-buses in Australia and New Zealand, and are quickly expanding into light commercial vehicles and trucks. THE OPPORTUNITY
The Fleet Coordinator is responsible for overseeing all activities related to the Zenobē fleet of vehicles. This includes ensuring that all processes are properly validated, compliant with regulations, and approved before any changes are made. The role demands a strong understanding of fleet operations and the impact on fleet operators, along with excellent organizational and communication skills.
A TASTE OF THE DAY TO DAY
- Assist with fleet-related requests, including vehicle rentals, substitutions, and reallocations within Zenobē’s UK fleet.
- Work with and assess financial models to determine actions on vehicles for re-leasing or sale opportunities against project structures.
- Treat the UK Zenobe fleet as your own, taking smart actionable decisions on re-leasing and battery actions.
- Work with the global team to share knowledge, optimise solutions and transfer knowledge.
- Use your technical expertise and engineering knowledge to run, validate and propose engineering changes to vehicles or project.
- Work with clients to assess and optimise technical offerings for the fleet.
- Work with battery suppliers, manufacturers and integrators to optimise battery strategies for UK fleets.
- Coordinate the scheduling of MOTs, services, and ad-hoc repairs to ensure vehicle readiness.
- Manage one off vehicle issues where appropriate with a focus on minimizing operational disruptions.
- Ensure compliance with UK road safety regulations and company policies for all vehicles.
- Raise and manage purchase orders for suppliers, ensuring work is completed as required.
- Process invoices, handle reconciliation, and ensure the timely settlement of payments.
- Maintain an up-to-date asset register, ensuring all vehicle records are accurate and current.
- Collaborate with Zenobē Operators to address ongoing operational needs and challenges.
- Manage service partnerships concerning vehicle maintenance, periodic checks, defect repairs, and damage management.
- Handle administrative duties related to fleet operations, such as insurance claims, fines, and asset inspections.
- Perform any other duties reasonably required to support fleet operations.

In the role of Fleet Coordinator, you will be responsible for the inspection, registration, and ongoing operational management (including maintenance, repairs, access control, and availability planning) of the Zenobē fleet. You will serve as the primary point of contact for vehicle fleet operations and ensure that all Zenobē vehicles remain roadworthy.
To be successful, you should possess the following qualifications and skills:
- Proven experience in administration, planning, and coordination within fleet logistics or a similar field.
- Solid technical and automotive understanding essential, bus operational experience highly desirable.
- Solid mathematics or financial background and comfortable assessing financial models.
- Strong customer service experience with excellent verbal and written communication skills.
- Proactivity to generate work yourself with the ability to understand a problem, review and propose solutions using the wider team.
- Exceptional attention to detail, with the ability to manage and prioritize multiple tasks and responsibilities effectively.
- High proficiency in Microsoft Office (Word, Excel, PowerPoint).
- The ability to manage a varied workload, prioritize tasks, and coordinate with different teams and individuals.
- Highly motivated, confident, and committed to maintaining a high level of accuracy in all tasks.
- High energy and willingness to learn and engage with the team both in and out of the office.
