About Us

Gripvan supplies specially designed vans and the latest technical equipment to photographers and filmmakers across London and beyond. We're a small, close-knit team that works with leading agencies and producers, supporting some of the biggest names in the industry on high-profile shoots. We're still young, growing fast, and looking for someone who wants to be part of that journey.

Purpose of the Role

Plan and coordinate daily vehicle movements across the fleet, and own compliance, maintenance, and safety standards for all fleet vehicles. Ensure the fleet is legally compliant, roadworthy, and able to meet daily job demand reliably.

Key Responsibilities

Logistics Planning

  • Plan daily fleet movements across the fleet (Mix of Vans, LGV / HGV and Cargo Cycle), matching jobs to available vehicles and drivers
  • Ensure client deliveries and collections are completed on time
  • Identify efficiencies for combining jobs.
  • Coordinate multi-drop jobs (typically 1-2 per day, 2-4 locations)
  • Manage real-time adjustments to schedule (delays, late job additions, driver availability)
  • Liaise with warehouse supervisors on load-out timing and readiness

  • Maintain compliance with restricted Operator Licence requirements
  • Manage the vehicle safety inspection schedule and ensure all inspections are completed on time across the fleet
  • Own defect reporting and close-out trail, ensuring nothing is left unresolved
  • Maintain auditable compliance records in case of DVSA inspection
  • Conduct periodic licence checks for all drivers (DVLA checks — categories, points, expiry)

Fleet Maintenance

  • Manage servicing schedules and MOT dates for all vehicles
  • Liaise with garages/service providers, booking and tracking work
  • Track vehicle condition and raise issues before they become compliance risks

Team Management

  • Line manage Drivers (rota, day-to-day tasking, absence cover)
  • Set expectations and process for daily vehicle safety checks (walk-arounds) carried out by drivers and warehouse techs who drive
  • Build staff rota for driver team

Health & Safety (Fleet Domain)

  • Own driver hours/fatigue management
  • Set standards for loading/unloading safety (weight limits, load securing, manual handling into vehicles)
  • Manage incident/accident reporting for road-related incidents

Requirements

Essential

  • Experience in a transport, logistics, or fleet coordination role
  • Working knowledge of Operator Licence compliance requirements (O-licence)
  • Excellent problem solving, organisational and planning skills; comfortable with a fast-changing daily schedule
  • Full UK driving licence with fewer than 6 points, and no DR / DD / CD Endorsements
  • A proactive, hands-on management style with a continuous improvement mindset.
  • Resident in and with the unrestricted right to work in the UK

Desirable

  • Experience holding or supporting a Transport Manager CPC
  • LGV licence or familiarity with LGV-specific inspection/compliance requirements
  • Experience managing a small driver team
  • Background in a delivery, rental, or equipment logistics environment
  • Interest in the photographic / film industry
  • Within 1hr public transport of E10.
