Fleet Operations Executive (12 Month FTC)

Fleet Operations Executive – 12-Month Fixed Term Contract

Location: Newport Pagnell & Milton Keynes | Country: United Kingdom

Santander Consumer Finance, one of the UK’s leading motor finance companies, is seeking an organised Fleet Operations Executive to join our team.


About the Role

This fast-paced role involves administrative and operational support to ensure the efficient management of vehicle fleets, whether for business or individual customers. You will play a critical role in compliance, customer support, and Fleet Operations while contributing to key business functions.


Key Responsibilities

Core Operational Duties

  • Process incoming post, fines, and email enquiries efficiently and accurately.
  • Manage V5 documentation, parking permits, and travel abroad paperwork to ensure UK regulatory compliance.
  • Handle invoice processing, VAT checks, and financial record-keeping for fleet customers.
  • Maintain accurate departmental records using fleet management systems.
  • Support customer services across multiple communication channels (phone, email, and in-person if needed).

Fleet & Compliance Management

  • Conduct V5 transfers, tax reminders, MOT checks, and cherished plate management to maintain fleet road legality.
  • Oversee travel abroad documentation and processing for fleet vehicles.
  • Monitor and report on traffic fines, filing disputes for customers or internal resolution.
  • Collect and archive company parking permits and manage traffic fine escalation procedures as needed.

Customer & Internal Coordination

  • Assist with the defleet process, including arranging vehicle collections and final invoicing.
  • Act as a point of contact for customers addressing queries about lease termination, returns, and billing disputes.
  • Work with third-party services to coordinate vehicle recovery or disposal.
  • Collaborate with legal teams for statutory declarations or court appearances when necessary.

Administrative & Reporting Work

  • Draft and update fleet operation policies in coordination with compliance teams.
  • Generate and maintain monthly/quarterly reports to track departmental KPIs.
  • Update client databases and internal records, including invoice chasing.
  • Attend induction training at Santander’s head office in Redhill, Surrey (travel covered).

Requirements

Essential Skills & Experience

  • Previous experience in customer service (particularly in a finance or fleet administration environment).
  • Proven ability to manage telephone and email enquiries professionally.
  • Strong numeracy and attention to detail for financial processing.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic fleet systems.
  • Confidence in discretion handling, as this role deals with financial and sensitive customer data.
  • Pair this with persistent negotiation and persuasive communication abilities.

Desirable Skills

  • Experience working in collections or fleet management operations.
  • Knowledge of UK Motor Vehicle Act nuances and compliance procedures.
  • Familiarity with contract and lease termination processes.

Additional Information

  • Contract: 12-month fixed-term position.
  • Location: Two phases – Initially Newport Pagnell for the first 6 months, then relocation to Milton Keynes.
  • Working Hours:
    • Monday to Friday: 09:00 – 17:00 (standard business hours).
  • Induction:
    • Mandatory day in Redhill, Surrey (full support provided for transport costs).
