Float Executive Assistant, Global Capital Markets


Location: Canary Wharf, Bank Street Contract: 12 months Work Setup: Hybrid – 4 days in the office


We are looking for a proactive Float Executive Assistant to provide fast, efficient cover for colleagues across Global Capital Markets (GCM), ensuring continuity of support for senior front office stakeholders during periods of absence. The successful candidate will need recent Executive Assistant experience within an investment bank or capital markets environment, along with:

  • Demonstratable success supporting Managing Directors/Executive Directors
  • Ability to handle changing diaries, international travel and expenses, and complex meeting arrangements

This is an extremely fast-paced role requiring adaptability, high attention to detail, and excellent written and verbal communication skills.

Who You Will Work With

Our client is a global financial services firm specialising in wealth management, market navigation, and strategic financial objectives. They provide risk management solutions across industries, emphasising long-term relationships and innovative financial approaches.


What You'll Do

  • Manage complex diaries, acting as a gatekeeper for schedules, and proactively resolve conflicts.
  • Arrange internal and external meetings (including venues, video/phone dial-ins) while adapting quickly in a dynamic environment.
  • Coordinate end-to-end international travel (flights, hotels, visas, currency, ground transport) and prepare detailed itineraries, ensuring compliance with firm travel policies.
  • Process and reconcile expenses (American Express, out-of-pocket costs, invoices) via Concur, ensuring strict adherence to firm expense policy.
  • Serve as the first point of contact for internal colleagues and external clients, maintaining professional written/verbal communication across teams.
  • Maintain and update the in-house CRM with accurate contact, meeting, and client interaction records.
  • Support event management for client and team functions.
  • Provide inbox, phone, and buddy team cover, updating handover notes for seamless transitions (lunches, holidays, sickness).
  • Offer general ad-hoc administrative support (e.g., business card orders, small projects) with initiative-driven task prioritisation.

What You Bring

Essential Qualifications & Experience

  • Proven Executive Assistant experience supporting senior front office stakeholders (Managing Directors/Executive Directors) in investment banking or related financial services.
  • Adaptable and flexible, with hands-on experience in:
    • Coordinating complex diaries
    • Managing international travel (including visa logistics)
    • Organising meeting logistics and event support
  • Practical technical skills:
    • Proficiency in Microsoft Office/Outlook (Windows), online travel booking tools, Concur expense systems, CRM tools, and video conferencing (Zoom/Teams).
  • Team player with buddy/float EA experience or demonstrable ability to support multiple senior executives with smooth handover processes.
  • Confident communicator who can liaise effectively with clients, internal staff, and stakeholders at all levels while maintaining discretion and confidentiality.
  • Pressure-proof with proven ability to thrive in a fast-paced, dynamic environment, managing priorities and competing demands while maintaining strong time management.
