Title, Team and Role Summary
Title: FM Coordinator Team: Hillington Park Reports To: Estate Manager
Role Summary / Purpose and Scope:
The FM Coordinator is responsible for the following key tasks:
- Assisting the Estates Manager in developing a close working relationship with all contractors.
- Providing administrative support to the Estates Manager and FM team, including deputising during their absence.
- Attending Client, Contractor, and Tenant meetings, taking and distributing minutes.
- Ensuring compliance with FM policies and procedures.
- Managing contractual signing-off (issuing and returning).
- Overseeing tenancy changes for vacant units.
- Coordinating with Alfa on meter-number updates, serial numbers, and submitting readings.
- Arranging access and informing tenants of upcoming landlord works or unit access needs.
- Issuing, processing, and approving POs/work orders and invoicing for site work.
- Managing contractors working on-site and overseeing the Permit-to-Work System and boundary agreements.
- Maintaining the Site Health and Safety system.
Work Hours:
- 3 days per week: Monday to Friday (9:00 AM - 5:30 PM)
- Salary (prorated): £26,230 - £26,300/year
Key Responsibilities
Administrative Support & Relationships
- Build and sustain contractor relationships.
- Deputise for the Estates Manager.
Policy Compliance & Operations
- Monitor statutory and internal compliance (MAPP policies, RICS, ISO standards).
- Manage change of tenancy transitions for vacant units.
- Ensure employee and contractor health & safety compliance.
Process Management
- Oversee work order, PO issuance, invoicing, and contractor payments.
- Manage cost controls and boundary agreements for permitting.

Required Experience
- 4 years in a similarly supportive role (preferably commercial property or facilities management).
- Familiarity with Riskwise (advantageous but not mandatory).
