The Role
One of London's prestigious private estates, managing over 1 million sq ft of commercial and residential property in the heart of London is looking for a FM helpdesk coordinator. With nearly a century of history, the estate is renowned for creating vibrant, characterful spaces that blend heritage with modern design.
Key Responsibilities
- To be responsible for the operation and administration of the FM Helpdesk, ensuring all external (tenant) and internal queries are acknowledged, assigned and resolved in a timely manner.
- To ensure that all PPM/Reactive and quoted works are scheduled and completed with all subsequent documentation provided.
- To co-ordinate and manage the FM helpdesk function across the portfolio.
- To respond and communicate in an effective and timely manner to all issues/queries or task raised by tenants, wider FM Team, contractors/suppliers, Asset Managers or senior management.
- Advise and guide the Maintenance and Facilities team on the raising and closing of reactive, PPM and scheduled job requests within the FM Helpdesk department. Responding appropriately to emergencies, or urgent issues, as they arise.
- Ability to assess risk and escalate if deemed necessary.
- Assist the Facilities team in raising purchase orders and the subsequent processing of the associated invoices at Head Office.
- Assist the FM admin manager to collate information to produce quarterly reports across various lines.
- Ability to build strong working relationships across various internal and external teams and departments.
- Assist Facilities Portfolio Managers in delivering proactive and solution-focused approach for FM services to sites.
- Any other ad-hoc tasks assigned by the Facilities Admin Manager including assisting with delivery of departmental projects.
- Ensure Maintenance team and service providers follow Company Health & Safety standards and adhere to legislation, minimising risks to staff, contractors and our properties.
- Ensure supplier details for Facilities and Health and Safety are maintained effectively, including filing of all associated service provider and compliance documentation.
- Ensure all RAMS and Work permits have been submitted before works commence.
