FM Scheduler – Broomfield Hospital, Chelmsford (Permanent, Full-Time, 40 Hours/Week)

About the Role

We are seeking a proactive FM Scheduler to join our team at Broomfield Hospital, Chelmsford, on a permanent basis.

This is an onsite role, offering a competitive salary, paid overtime, and a comprehensive benefits package.

Key Responsibilities

The FM Scheduler will focus on ensuring planned works (PPMs), follow-on, and reactive works are completed within contractual SLAs (Service Level Agreements). Key responsibilities include:

  • Scheduling Operations:

    • Planning and managing planned works (PPMs) to ensure completion within deadlines
    • Monitoring reactive and follow-on works to minimise delays and deductions
    • Accurately tracking workflow and escalating issues to maintain efficiency
  • CAFM System Management & Compliance:

    • Ensuring CAFM systems are fit for purpose, properly configured, and maintained
    • Collaborating with team to ensure training on system usage is effective
    • Maintaining required records for audit and compliance purposes
    • Generating reports to assist in decision-making and stakeholder communication
  • Workforce & Operational Benchmarking:

    • Administering shift rosters and keeping them up-to-date
    • Providing labor analysis reports to Senior Leadership Team (SLT) for workforce planning
    • Supporting the CAFM Manager in maintaining asset and PPM data
  • Subcontractors & External Liaison:

    • Liaising with subcontractors to arrange site visits for PPM/Reactive Works
    • Obtaining required paperwork post-completion and managing purchase orders
    • Providing departmental cover when necessary

  • Administration & Data:

    • Ensuring PPM schedules, reports, and master tables are accurately maintained
    • Creating and updating PPM paperwork for audits and compliance
    • Performing ad hoc data analysis and reporting on CAFM key metrics
  • Team Collaboration & Continuous Improvement:

    • Building strong working relationships with all CAFM users and stakeholders
    • Enabling collaborative reporting processes to enhance service quality
    • Leading continual improvement within a change-resistant environment

What You’ll Need

Key Qualifications & Experience:

  • Strong interest in facilities management (FM) or similar roles with experience in Plan, Prevent, Maintain (PPM) environments
  • Practical experience with CAFM systems (preferably Maximo), with a focus on data management and structured reporting
  • Proven track record in scheduling, coordination, and ensuring timely completion of contractually required activities
  • Excellent oral and written communication skills, with the ability to liaise with various stakeholders
  • Self-motivated, with strong attention to detail and effective planning/prioritisation skills
  • Matrix working environment experience preferred due to the complex nature of FM operations
  • Ability to build trust and maintain strong relationships across organizational levels

Soft & Technical Skills:

  • Confident presenter and problem solver with tenacity for excellence
  • Experience managing healthcare facilities services, especially in Private Finance Initiative (PFI) settings, particularly beneficial
  • Robust knowledge of FM, PFI, and clinical maintenance policies and workflows
  • IT literate, with experience in Advanced analytics, data reporting tools
  • Demonstrated team player mentality with strong interpersonal skills
  • Ability to pass a DBS Basic disclosure check
