Food & Beverage Technical Coordinator

About the Role
Warner Hotels are seeking a Food and Beverage Technical Coordinator to join their Food & Beverage Technical team, based at our Hemel Hub. In this role, you will provide administrative, technical, and coordination support to the Food Technical and Procurement teams. Key responsibilities include ensuring food safety documentation, supplier records, product specifications, and procurement processes are organised, accurate, and compliant with company and regulatory requirements. Familiarity with Starchef (or similar systems) is beneficial—please mention relevant experience.
Responsibilities
Food Technical Administration
- Maintain and organise food safety documentation and records.
- Review and update management of product specifications, allergen information, and nutritional data.
- Assist in maintaining HACCP documentation and compliance records.
- Ensure supplier documentation (e.g., certificates, audits, insurance) is up to date and properly filed.
- Support product approval processes by collecting and organising required technical information.
- Track expiry dates of technical documents and follow up with suppliers for updates.
- Use Starchef to review and approve recipes and menus.

Supplier & Product Data Management
- Maintain supplier databases and ensure records are complete and accurate.
- Manage product specification files and technical folders.
- Upload and maintain data in internal systems such as:
- Specification databases
- Supplier portals
- Menu or recipe management systems
- Ensure allergen and ingredient information is properly recorded.
Procurement Administrative Support
- Assist the procurement team with supplier communication and documentation requests.
- Support the creation and maintenance of:
- Product lists
- Approved supplier lists
- Help track product updates, price changes, or specification changes.
- Assist in coordinating supplier on-boarding documentation.
Cross-Team Coordination
- Collaborate closely with:
- Development Chefs
- Procurement team
- Food Safety Specialists
- Technical Partner
- Ensure technical information is available for menus, recipes, and product approvals.
- Facilitate communication between suppliers and internal teams regarding product information.
Skills, Behaviours & Experience
- Ideally, degree educated (or equivalent experience) in Food Science or Technology.
- Strong understanding of food safety principles, HACCP, and allergen management.
- Awareness of product specifications, ingredient information, and supplier technical documentation.
- Knowledge of supplier compliance requirements (e.g., certifications, insurance, technical records).
- Basic understanding of procurement processes, including:
- Supplier communication
- Product lists
- Purchase administration
- Proficient in Microsoft Office (particularly Excel), database management, and document control systems.
- Strong attention to detail, accuracy, and communication (both written and verbal).
- Previous experience in managing documents and databases.
- Ability to prioritise tasks and meet deadlines.
- Experience with procurement or supplier databases, recipe or menu management platforms.
- Prior experience in administration within food, hospitality, retail, or supply chain.
