Soho House Food & Beverage Procurement Specialist

About the Role

The primary purpose of this role is to support Food & Beverage (F&B) categories across a wide array of procurement activities including:

  • Purchasing system management (Adaco)
  • Vendor setup and invoice management
  • Cost control
  • Spend analytics
  • Contract review and management
  • Process and policy governance
  • Supporting local kitchen/chef and bar teams with recipe and cost management
  • Ensuring up-to-date product and pricing data in the Adaco purchasing system

Additionally, the key accountabilities include: Gradual progression to category management and ownership, including:

  • Developing category strategies
  • Conducting market reviews and competitive analyses
  • Leading supply chain ownership
  • Ensuring supplier performance and success within their assigned food and beverage categories.

Main Duties

Daily Duties

  • Liaise with local operational stakeholders, site leads, and suppliers to ensure:
    • New vendors, products, and pricing are correctly set up in the Adaco purchasing system
  • Maintain the Adaco purchasing system by:
    • Ensuring supplier and product databases are up-to-date and optimised
    • Addressing invoice queries within expected timeframes
  • Proactively monitor orders to identify and escalate potential issues to the business
  • Provide administrative support to the Procurement team and contribute to:
    • Stock and margin reporting
    • Ad-hoc reporting as requested
  • Manage invoice workflow to minimise queueing concerns
  • Assist Procurement and Accounts Payable with urgent requests

Weekly Tasks

  • Collaborate with Ops Managers, Finance, and Procurement to optimise:
    • Supplier performance management
    • Contract compliance
  • Influence and ensure internal customers follow procedures, reducing erosion of contracted supplier goodwill
  • Support in market reviews and analyses to identify new vendor/solutions opportunities
  • Conduct supplier due diligence via Procurement Policy and best practice
  • Cleanse and enrich supplier and spend data
  • Deliver progress against buying compliance KPIs to management
  • Build, maintain, and manage supplier relationships as the primary point of contact
  • Verify compliance of invoices with:
    • Agreed payment terms and methods
    • Contractual obligations
  • Monitor supplier setup/renewals and contract compliance for supply chain control
  • Ensure accurate updates in the system to achieve matching cost prices and purchase codes
  • Maintain recipe structure in Adaco, synchronising with Revenue System (MICROS)
  • Report on gaps in PLU’s and recipe setup weekly
  • Analyse COS (Cost of Sales), comparing against budget/theoretical thresholds
  • Liaise with Finance for timely system adjustments (Adaco & Sage Posting) after F&B reconciliations

Monthly Tasks

  • Oversee supplier performance documentation for audits and compliance reviews:
    • Monthly, quarterly, and annual supplier evaluations
  • Build supplier dashboards, identifying actionable insights
  • Conduct trend analysis on key metrics like costs, volumes, consumption to determine patterns/anomalies or escape routes -Drive continuous improvement by:
    • Optimising systems, processes, and controls
    • Updating supplierпо… …Conduct market/commodity trend reviews …Enforce commercial and alignment reviews with the supply base to reduce costs
    • Escalating cases where stakeholders fail compliance responsibilities
  • Analyse Procure-to-Pay (P2P) efficiencies, proposing and driving euational standardisation/automation opportunities
  • Collaborate with IT and cross-functional teams to standardise and refine purchasing governance/controls
  • Document/own key processes and records, ensuring transparency in F&B procurement and payment management
  • Establish short-and medium-term KPIs to drive overall procurement performance and value realization
  • Negotiate and update supplier SLAs for enhanced service delivery against business objectives
  • Analyze/review existing policies and processes to reconcile public sector, efficiency and delivery accuracy requirements
  • Ensure quality execution of the company's Procurement transformation.
  • Expansive refresh of F&B product database in Adaco within monthly deadlines
  • Analyse identified errors and discrepancies, informing site management on ways to improve input accuracy
  • Deliver Adaco monthly training sessions for users across the business
  • Conduct cost analyses, scenario planning, and benchmarking
  • Review performance data on purchases, theft, or waste, identifying specific loss opportunities
