Front of House & Office Coordinator

Location: Dublin
Job Type: Permanent, Full-Time

About EHS International

EHS International is one of the fastest-growing providers of Environmental, Health & Safety consultancy, training and compliance services across Ireland and the UK. As our business continues to expand, we are seeking a professional, organised and customer-focused Front of House / Office Coordinator to join our team.

This is a key front-of-house position that plays an important role in creating a positive first impression for clients, visitors and colleagues. The successful candidate will be responsible for ensuring the smooth day-to-day operation of our reception area while providing administrative support across the business.

Key Duties & Responsibilities:

  • Act as the first point of contact for all visitors, clients and suppliers, delivering a professional and welcoming experience.
  • Manage incoming telephone calls, emails and enquiries, directing them to the appropriate department or team member.
  • Coordinate meeting room bookings and prepare meeting spaces as required.
  • Provide administrative support including document preparation, scanning, printing, filing and data entry.
  • Upload, maintain and organise records within company systems, including CRM and document management platforms.
  • Support the administration of training courses and events, including room preparation and hospitality arrangements.
  • Maintain a clean, organised and professional reception and office environment.
  • Monitor and replenish office, kitchen and stationery supplies, coordinating orders when necessary.
  • Assist with incoming and outgoing post, deliveries and courier services.
  • Support wider office administration projects and provide assistance to colleagues across departments as required.
  • Ensure compliance with company procedures relating to data management, confidentiality and office operations.
  • Assist with office opening and closing procedures when required.

Skills & Experience:

  • Previous experience in a receptionist, front-of-house, customer service or office administration role.
  • Excellent verbal and written communication skills with a professional and friendly manner.
  • Strong organisational and time-management abilities, with the capacity to manage multiple tasks effectively.
  • High level of attention to detail and accuracy in administrative work.
  • Proficient in Microsoft Office applications, including Outlook, Word and Excel.
  • Comfortable learning and using CRM, document management and cloud-based business systems.
  • Ability to work independently, prioritise workload and use initiative.
  • Strong interpersonal skills with the ability to build positive relationships with clients, visitors and colleagues.
  • Professional appearance and approach, with a commitment to delivering excellent customer service.
  • Flexible, proactive and willing to support the wider team in a fast-paced environment.
