Fulfilment Administrator – Carwow Leasey

The Role: Fulfilment Administrator (Hybrid)| Carwow Leasey, Winnersh

Your mission is critical. As a Fulfilment Administrator, you’ll power Carwow Leasey’s sales performance by supporting the department operationally—a role filled with ownership, relationship-building, and process-driven innovation.

The Opportunity

You’ll be the linchpin between Leasey’s sales team and external stakeholders—dealers, suppliers, and financial funders—ensuring seamless workflows. Together with your Fulfilment Manager, you’ll develop efficient processes as the business grows, scrutinising finance, delivery bookings, and payments to guarantee smooth transitions from order to fulfilment.

Beyond admin tasks, this role thrives on proactive collaboration, where you’ll build credibility, streamline communication, and add value through solutions-focused logic.


Key Responsibilities

  • Daily Operations Leadership:

    • Own and manage the relentless operational lifecycle—tracking dealer relationships, processing orders, and giving proactive timely updates to customers from inception to completion.
    • Handle independent finance document processing, delivery bookings, and prepare delivery packs for payout, ensuring accuracy and compliance.
    • Identify bottlenecks in processes and champion continuous improvement.
  • Stakeholder Engagement:

    • Foster trust and professionalism within our network of dealers, funders and suppliers—your reputation will underpin the efficiency and relationships driving business decisions.
  • Team Collaboration & Process Support:

    • Contribute honest, constructive feedback to colleagues and coordinate workload equitably for optimal team output.
    • Remain open-minded to change and entrepreneurial—quickly adapt, innovate workflows, and remove critical pain points that hinder growth.

Must-Have Requirements

  • Industry Flexibility & Insight:

    • Experience in a similar role, preferably within the UK vehicle leasing industry (e.g., contract car rental, fleet, or private leasing).
  • Core Skills & Mindset:

    • Work ethic:self-driven, focused on results and high-quality outcomes—able to thrive under pressure and meet targets.
    • Strong negotiation & stakeholder management: your relationships with external bodies will shape operational success.
    • Flexibility & Adaptability: Comfortable taking the lead or collaborating within teams; can operate autonomously where needed.
    • Organisation & Prioritisation: Must balance business-critical workload—so-doing what’s needed first, not just what’s urgent.
    • Error prevention—surpassingly high attention to detail in documentation anddelivery logistics.
    • Emotional Intelligence: adept at building rapid rapport and resolving sensitive customer or supplier issues confidently.
  • Technical Proficiency:

    • Powerful digital acumen: proficient in Microsoft Office, especially Excel (data management, spreadsheet vice-versa) and PowerPoint for presentations.
    • Quick learner—able to adapt to new tools or platforms efficiently.

Nice to Have

  • Experience with ERP systems (e.g., SAP, SAP Car-Leasing, Salesforce).
  • Familiarity with leasing finance portals, software used in motor/PACE leasing.
  • Demonstrable enthusiasm for technical innovation and how it optimises workflow.
