St John Ambulance works at the heart of communities, supporting and enabling them to access and receive physical and mental health first aid. We do this through developing and providing effective community response and outreach services (e.g. Ambulance response) and using our longstanding expertise to empower people with vital clinical skills and the confidence to use them (e.g. our Volunteers and Community Advocates, and Young Responders programmes).
Job Summary

Our Fundraising Operations team plays a vital role in supporting this mission, providing the essential administrative backbone that enables our fundraising activity to run smoothly and effectively. We are now looking for a highly organised and detail-focused Fundraising Operations Administrator to join our Community Engagement directorate and support our remote fundraising teams.

This is an exciting opportunity for someone who thrives in a fast-paced, data-driven environment and enjoys delivering excellent service to both donors and internal stakeholders. You will play a key role in managing donor queries, maintaining accurate records on our fundraising database, processing financial transactions, and supporting the delivery of key fundraising campaigns and reports.
Working closely with colleagues across Community Fundraising & Challenge Events, you will help ensure that all donor interactions and transactions are handled efficiently, accurately, and in line with GDPR and organisational standards. If you are proactive, adaptable, and motivated by work that directly supports life-saving services, this role offers a fantastic opportunity to make a meaningful impact.
About You
- You have strong administrative experience in a busy, customer or donor-focused environment with excellent attention to detail.
- You are confident handling queries from a range of stakeholders and can communicate clearly, professionally, and empathetically.
- You have experience working with databases or CRM systems and are comfortable maintaining accurate and sensitive records.
- You are highly organised, able to prioritise effectively, and work well under pressure to meet deadlines.
- You have strong numerical accuracy and are comfortable supporting financial or transactional processes.
- You are proficient in Microsoft Office, particularly Excel, Outlook, and Word, and can quickly adapt to new systems.
- You understand the importance of confidentiality and GDPR and consistently apply these principles in your work.
- You are proactive, flexible, and motivated to contribute to a team that supports meaningful, life-saving fundraising activity.
About the Role
Provide efficient and accurate administrative support to the Fundraising Operations team, ensuring smooth day-to-day delivery of fundraising activity across remote teams. Duties will include:
- Handle donor enquiries via email and telephone, delivering a professional, timely, and customer-focused response at all times.
- Maintain and update donor records on Microsoft Dynamics, ensuring data integrity, accuracy, and compliance with organisational standards.
- Process a range of financial transactions including direct debits, cancellations, and web-based donations in line with agreed SLAs.
- Produce and support the preparation of daily, weekly, and monthly reports to assist fundraising performance monitoring and decision-making.
- Send donor communications including welcome letters, thank you letters, and direct debit correspondence in a timely and accurate manner.
- Support the delivery of fundraising campaigns and projects through effective coordination and administrative assistance.
- Ensure all activities are carried out in line with GDPR, data protection requirements, and internal fundraising procedures.
