General Assistant
UTA is seeking a General Assistant to support across the Music department in our London office.
Reporting into the Music Operations Manager, you’ll be responsible for administrative tasks including ticket counts, guest list management, immigration requirements for touring artists, and working closely with the Finance department on tracking payments for shows. You’ll provide desk cover when Agents’ Assistants are on leave, and will receive all-round training in the administrative responsibilities of an Assistant.
What You’ll Do
Your responsibilities will include, but not be limited to:
Scheduling meetings – organising meetings with promoters Managing roster grids – keeping London office roster information up to date Managing contact lists – keeping documents such as All Agents List up to date Finance – prepare weekly outstanding payment reports, and working with agents, assistants, and the finance team to track and chase deposits and final balance payments Updating show lists – compiling London show list on a weekly basis Enquiries – dealing with enquiries as they come in via email or phone Ticket figures – checking ticket figures and sending to management Managing guest list – managing festival and headline show guest list requests Support ideas – collating internal and external support suggestions, including for other agencies when requested Event assistance – helping organise UTA presence at events such as IFF and TGE Contracts – contracting shows quickly, accurately and efficiently Immigration – filing for immigration forms, including Certificates of Sponsorship for UK bands, and generally assisting management with immigration needs and managing documentation for touring parties Meeting minutes – taking notes on calls as and when requested Desk cover – providing desk cover when Agents’ Assistants are on leave Support –providing daily ad hoc support to agents and assistants, when approved by Operations Manager

What You’ll Need
A passion for working in the music industry Excellent verbal and written communication skills Excellent organizational skills Ability to prioritize a busy workload Ability to develop business relationships Previous experience in a related field is desirable
