Job Title
General Clerk (Administrator / Office Coordinator / Administrative Assistant)

As a General Clerk, you will play an essential role in keeping office support services running smoothly behind the scenes. Your organisation, attention to detail and collaborative approach will enable clinical and operational teams to focus on delivering high-quality care.
You will maintain accurate and up-to-date records, support both internal and external communication, and ensure all work is carried out in line with company policies and procedures. This role requires strong organisational skills, attention to detail, and the ability to work collaboratively with colleagues to keep day-to-day operations running efficiently.

Hours: 37.5 hours a week (Monday to Friday, 9am to 5pm)
Responsibilities
As a valued member of the administration team, your responsibilities will include:
- Providing administrative support to teams across the service, ensuring tasks are completed accurately and within required timeframes
- Taking accurate, timely, and effective meeting minutes, distributing them promptly, and following up on recorded actions to support effective governance
- Maintaining organised, audit-ready filing systems, ensuring records are secure, up-to-date, compliant, and easily accessible
- Supporting compliance processes by completing, tracking, and escalating essential documentation to maintain regulatory standards
- Coordinating staff training activity, including bookings and record-keeping, ensuring training data is accurate and supports organisational reporting
- Providing professional reception cover, including welcoming visitors and efficiently managing calls, enquiries, and correspondence
- Preparing reports, documents, and administrative records to a high standard and within deadlines
- Supporting the coordination of meetings, including room bookings, material preparation, and logistical arrangements
- Carrying out general office duties such as scanning, filing, and document preparation to support smooth service delivery
- Ensuring all work complies with confidentiality, data protection, and information governance standards
- Offering ongoing support to other administration team members, ensuring seamless collaboration
- Continuously improving administrative processes and identifying opportunities to enhance efficiency and effectiveness

Requirements
To be successful in this role, you will:
- Hold GCSEs (or equivalent) in **English and Mathematics at Grade C/4 or above (essential)
- Have experience using Microsoft Office programs, including Word and Excel
- Have experience with accurate and effective meeting minutes-taking
- Previously work in a healthcare setting (e.g., hospital or GP practice—desirable but not essential)
- Demonstrate professional conduct at all times
- Possess strong interpersonal skills to build and maintain positive relationships
- Have a high level of discretion to maintain confidentiality
- Showcase excellent organisational skills, including task prioritisation, efficient work and meeting deadlines with minimal supervision
- Demonstrate attention to detail, accuracy, and a proactive approach
- Exhibit flexibility regarding working hours, location, travel, and occasional out-of-hours meetings to support service requirements
Location
You will be based at Rhodes Wood Hospital, Hatfield, a specialist service providing care for children and young people (aged 8–18) experiencing eating disorders and related mental health needs.
