Job Title: GFA Administrator
Location: HM Naval Base, Portsmouth (HMNBP)
Service Area: Service Delivery
Hours of Work: 37 Per week
Contract Type: Permanent
Salary: up to £28,000
What you will be doing:
As the GFA (Government Furnished Asset) Administrator you will play a vital role in ensuring the end-to-end control, governance and assurance of all assets provided by government or defence customers under contractual obligations.
This position ensures GFA’s are fully recorded, safeguarded, tracked and managed throughout their lifecycle. The role is essential in mitigating risk, preventing asset loss, and ensuring compliance with all customer, contractual and organisational expectations relating to the receipt, storage maintenance, transfer and return of government furnished assets.
- Maintaining full compliance with all contractual and regulatory obligations
- Providing comprehensive administrative support to the GFA function, including responding to enquiries and extracting accurate data from asset management systems
- Support the maintenance of structured, accurate and auditable documentation, including; Certification of conformance, Certificate of disposal and maintenance records
- Engage with teams and stakeholders to ensure timely compliance with asset life cycles and availability standards
- Maintain high quality inventory data to support transparency, reporting, and operational effectiveness
- Support internal and external audits through accurate, complete, and well-organised records
- Conduct regular stocktakes and generate clear reports for management, highlighting risks, variances and areas for improvements
- Consult effectively with operational leads, engineering teams, procurement, programme management, subcontractors, amongst others to support all GFA related activity
What you will bring:
- Previous experience within a similar administrative role and similar environment
- Experience maintaining accurate records and processing documentation
- Experience with Asset Management System would be an advantage
- Experience reviewing, interpreting or working with procedures, regulations, contracts or agreements
- Proficiency in Microsoft office suite, particularly Excel
- Procurement awareness

About you:
Due to the nature of this role, you will have a strong attention to detail with the ability to work with complex information accurately. Excellent communication and collaboration skills, supported by proven experience engaging and influencing stakeholders and customers at all levels. You will be able to build credibility quickly, develop strong working relationships, and work effectively across teams.
