Job Title
This is a brand-new role at The Romans that sits within our Growth Team. It's part traffic controller, part growth engine, part marketer.
About the Role
Around half of your time will be spent owning the planning, allocation and day to day management of our Creative, Strategy and Studio teams. You'll make sure the right people are on the right projects at the right time, balancing workloads, spotting pinch points before they happen and keeping our teams moving at full speed.
The other half of the role is all about helping The Romans grow. You'll support new business activity across in our UK office, helping to coordinate pitches, improve our processes, keep opportunities moving and support lead generation across key specialist teams, working with our Global Growth Manager.
Alongside this, you'll play a key role in marketing The Romans. From supporting our award-winning work through helping to enter industry awards, to creating content for our social channels, you'll help tell the story of our agency, working with our Global Marketing Manager.
You'll balance workloads between these three workstreams. If you love creating structure from complexity and thrive on pace, you'll fit right in - keeping work moving smoothly and working with the wider Growth team on delivering on its objectives.
Key Responsibilities
- Keeping our teams moving
- Own the day-to-day planning and allocation of time across the Creative, Strategy and Studio teams.
- Manage incoming resource requests and assess requirements based on scope, timelines and priorities.
- Match projects with the most appropriate talent based on skills, experience, capacity and budget.
- Maintain accurate resource plans and ensure teams have visibility of upcoming workloads and deadlines.
- Monitor team capacity and proactively identify resource gaps, conflicts and bottlenecks.
- Work closely with dept leads and growth leads to balance workloads and support effective project delivery.
- Continuously review and improve resource management processes, tools and ways of working.

Managing our freelance network
- Identify when freelance support is required and make recommendations accordingly.
- Build and maintain a trusted network of freelance creatives, strategists and specialist talent.
- Manage freelancer bookings and ensure all approvals are secured before engagement.
- Maintain visibility of freelance usage and spend across the department.

Building The Romans brand
- News: Helping to create an ongoing drumbeat of news, including new biz wins, people news and major work (focused on the UK), supporting the Global Marketing Manager.
- Awards: Supporting on The Romans’ awards programme annually, helping to manage entries from the UK. Identifying relevant award ceremonies and categories within these in which to enter, and actively following the processes and guidelines for each award ceremony to ensure that the correct copy and content is uploaded.
- Social Content: Supporting on content and copy creation for the social media channels for The Romans, including an ongoing monthly content calendar, UK launches of work and people news.
- Case Studies: Working with client leads on an ongoing basis to create case studies of our best work.

Helping winning new business at The Romans
- Admin: Ongoing management of the new business servers, keeping all credentials, pitch documents and procurement documents updated and standardised.
- Process: Helping the Growth team in the UK guide all major new business processes using the new 10-step guide per pitch.
- Quality Control: Supporting on quality control for all new business pitches – including setting up pitch rehearsals and proofing documents for major pitch documents.
- CRM: Supporting on a new CRM tool that accurately captures key information for every pitch at The Romans (including contact details, history, revenue and other relevant information).
- Wash-Ups: Ensuring that pitch wash-ups are completed where relevant, with key learnings captured and shared with relevant stakeholders.

We're looking for someone who is highly organised and doesn’t get flustered easily. Also, someone who brings fresh ideas, spots opportunities for improvement and isn't afraid to suggest how our processes, tools and ways of working can evolve as the agency continues to grow.
