Job Description
We’re hiring a detail-oriented and technically curious Global Recruitment Operations Administrator to help optimise and shape our hiring processes globally, using SmartRecruiters as our Applicant Tracking System.
This is a 12-month fixed-term contract role.
In this position, you’ll:
- Play a key role in configuring and enhancing SmartRecruiters, ensuring our global hiring workflows, templates, integrations, and approval processes are scalable, consistent, and compliant.
- Work closely with the Global Talent Acquisition team to deliver an exceptional hiring experience for both candidates and staff.
This is an exciting time to join as we’re transforming our recruitment systems:
- Moving end-to-end hiring processes and approvals fully online

You’ll be at the heart of this change, testing new features, deploying updates, and improving the system’s ability to support business growth effectively.

Key Responsibilities
Support & Troubleshooting
- Resolve system issues, workflow failures, and configuration errors for global TA teams.
- Assist in regional training programs and develop best-practice documentation for recruiters and hiring managers.
- Collaborate with SmartRecruiters Support and Customer Success on complex escalations and system improvements.
System Configuration
- Master global system settings, hiring processes, job templates, user roles, permissions, and custom fields.
- Configure and maintain templates, merge fields, approval workflows, and country-specific offer formats.
- Support integrations with:
- Background checks
- Assessments
- HRIS systems
- Onboarding tools
- Job boards
- Ensure consistent data structures, field configurations, and picklists for usability.
System Optimisation
- Identify opportunities to streamline and automate processes, reducing manual effort.
- Support system reporting to ensure regional teams have required access to data.
- Test and assist in deploying new features, configuration changes, and system updates.
- Stay updated with ATS platform updates, industry trends, and best practices.
Qualifications, Skills & Experience
- Hands-on experience in administering a HR or recruitment system—preferably in a global environment (while SmartRecruiters familiarity is beneficial, it is not essential).
- Strong analytical and problem-solving skills with a willingness to troubleshoot and improve.
- Knowledge of HRIS integrations and data flows is a plus.
- Excellent communication skills, with the ability to train and support non-technical users.
- Experience working in project-based environments, including change management processes.
- Ability to prioritise multiple tasks in a fast-paced, evolving environment.
