The Governance Administrator & Clerk to the Board will provide high-quality governance and administrative support to the School’s Boards and Committees, as well as the Board of Directors of Rambert Grades (a joint venture between Rambert School and Rambert Grades). The post holder will use modern technologies and AI tools to schedule meetings, prepare agendas and papers, and produce accurate and timely minutes, supporting effective governance and compliance. This role requires a meticulous and highly organised individual with strong minute-writing skills and excellent attention to detail. The post holder will demonstrate sound judgment, diplomacy, and discretion when handling confidential and sensitive information. They will build strong working relationships with senior leadership and Board members and demonstrate a strong commitment to the School’s mission and values.

This is a part-time, 0.6 FTE (24-hours of a FT 40-hour week), role. NB – Flexible annualised working pattern is available, to suit the needs of the role and the postholder (e.g. working parents). Hours could vary week to week based on workload demands, while maintaining a consistent monthly salary.

Responsibilities

Responsibilities will include but are not limited to:

  • Coordinate and service meetings for: Board of Trustees and its Committees, Executive Leadership Team, Senior Management Team, School Widening Participation Committee, Board of Directors (Rambert Grades, Rambert Trademarks, Rambert Trust)
  • Ensure effective meeting governance by: preparing clear agendas, papers, and reports in advance, providing information in a timely and accessible format, supporting informed discussion and decision making, accurately recording and maintaining minutes
  • Maintain the annual calendar of Board and Committee meetings
  • Support the Director of Finance & Governance (Company Secretary) by: maintaining records of members’ terms of service, Managing terms of reference and membership records, overseeing secure storage of minutes and meeting papers, developing guidance on document preparation and dissemination, provide guidance to Board and Committee members on governance procedures and statutory responsibilities
  • Support ongoing evaluation of governance effectiveness by: coordinating skills audits, collecting feedback from members, working with colleagues to implement improvements
  • Support statutory filings with the Charity Commission and Companies House
  • Provide executive support to leadership
  • Set up rooms and arrange catering for onsite meetings

Qualifications

Essential:

  • Undergraduate degree in a relevant field (e.g. business administration, management, communications)
  • Planning and Organisation
  • Minimum 2 years’ experience in a governance, executive assistant, or Company Secretary role at senior or Board level
  • Experience supporting Boards and Committees, including minute-writing
  • Strong organisational skills with the ability to prioritise, multitask, and meet deadlines accurately
  • Technical Skills
  • Proficiency in Microsoft 365 (Word, Outlook, PowerPoint, SharePoint/OneDrive)
  • High integrity and ability to handle confidential information appropriately
  • Flexibility to work additional hours during peak periods

Desirable

  • Experience within Higher Education, charity, or conservatoire settings
  • Experience using AI tools (e.g. Copilot)
  • Interest in dance education or the performing arts
