At The Caledonian Edinburgh, our Group, Conference & Events team creates unforgettable moments for guests, delegates, and organisers from around the world. We are seeking an Event Planner to coordinate exceptional meetings, weddings, social occasions, and corporate events from confirmed booking through to final delivery, ensuring every detail reflects our luxury standards and warm Scottish hospitality.
The Person
- Highly organised and detail-driven, with excellent planning, administration, and communication skills
- Confident, polished, and customer-focused, with a genuine passion for luxury hospitality and memorable guest experiences
- Calm under pressure and able to manage multiple events, deadlines, and client requirements at the same time
- A natural relationship-builder who communicates clearly with clients, suppliers, and hotel teams
- Experienced in events, hospitality, or hotel operations; strong computer literacy and Microsoft Office skills are essential
- Experience working with Delphi and OnQ systems beneficial but not essential

The Role
- Plan and coordinate confirmed GC&E bookings from handover through to event delivery
- Build strong client relationships, understanding each event brief, and translating requirements into clear, accurate plans
- Prepare detailed function sheets and event documentation to support seamless operational delivery
- Liaise closely with hotel departments, suppliers, and operational teams to ensure every detail is communicated and delivered
- Provide excellent pre-event support, on-the-day coordination where required, and thoughtful post-event follow-up
Key Responsibilities
- Take ownership of confirmed meetings, conferences, weddings, and social events, ensuring all planning milestones are achieved
- Conduct final details meetings with clients and capture accurate requirements for catering, room setup, timings, accommodation, and special requests
- Maintain accurate system records, event notes, correspondence, and operational documentation
- Work collaboratively with Sales, Reservations, Food & Beverage, Kitchen, Front Office, and Banqueting teams to deliver a joined-up client journey
- Support event operations as required, resolving queries promptly and maintaining the highest standards of service and professionalism
