Group Coordinator
We’re looking for an organised and proactive Group Coordinator to join our team on a 12-month fixed-term contract. This is a key support role within our Engineering teams, helping to ensure the smooth day-to-day running of projects, processes, and team operations.
The role will be based from our London office on a hybrid working arrangement.
You’ll work closely with engineers and wider business services teams, playing a central role in coordination, communication, and administration across a busy and collaborative environment.
What You’ll Be Doing
This is a varied role where no two days are the same. Key responsibilities include:
- Coordinating team activities, including meetings, reporting, presentations, and away days
- Supporting bids and business development activity by preparing CVs, documents, and submissions
- Managing travel arrangements and diary coordination for the team
- Taking meeting minutes and tracking actions for both internal and client-facing meetings
- Ensuring engineers complete timesheets and supporting project administration
- Formatting and producing high-quality documents in line with brand guidelines
- Supporting onboarding for new starters and coordinating key people processes (e.g. career development meetings)
- Maintaining SharePoint pages and ensuring information is accurate and up to date
- Assisting with IT coordination, systems usage, and process adherence
- Providing general administrative support to the wider team and Group Leader

Essential skills and experience:
- Strong IT skills, including Microsoft Word, Excel, PowerPoint, SharePoint, and Teams
- Experience supporting teams in an administrative or coordination role
- Ability to manage multiple priorities and deadlines effectively
- Excellent communication and organisational skills
- High attention to detail and a proactive, problem-solving mindset
- Comfortable working with stakeholders at all levels of seniority
Desirable:
- Experience working across multiple teams or locations
- Knowledge of InDesign (training can be provided)
- Experience maintaining systems, processes, or quality standards
