What will you be doing?
Responsibilities
Reporting day to day to the Learning Programme and Communications Advisor, with performance and development reviews managed by the Learning & Organisational Development Director, key responsibilities will include:
- Academy7 Programme Coordination and Delivery
- Programme Administration, Participant Support and Reporting
- Learning Systems and Operations Support
- Online Learning Content and LMS Administration
- Stakeholder and Delivery Partner Coordination
Your primary focus will be Subsea7's Academy7, which offers online leadership, management and capability development programmes to help our people grow.
You will play a key role in the end-to-end coordination of Academy7 programmes, working closely with Programme Leads, speakers, delivery partners and participants to ensure programmes are delivered professionally, efficiently and in line with agreed schedules.

Responsibilities will include setting up programme sessions and classes, managing participant groups, coordinating programme calendars and Teams invitations, supporting scheduling and logistics, managing programme changes and responding to participant queries to ensure a positive learner experience.
You will provide administration and coordination support across multiple learning programmes, acting as a key contact for learner enquiries, supporting mailbox management, maintaining attendance and participation records, tracking sign-ups and engagement, and supporting programme reporting and KPI tracking.
You will also support learning systems and operations activities, including programme and learning setup within systems such as SuccessFactors LMS platform, assignments, session administration, tracking, data maintenance and reporting extracts. Also, assisting users with learning system and access queries and support data quality across learning platforms.
Working closely with the Learning Content Lead, you will support the upload, administration and maintenance of online learning content and programme materials, ensuring content is accurate, current and accessible.
You will contribute to the continuous improvement of learning operations, processes, tools and ways of working, helping to drive consistency, efficiency and scalability across Academy7 activities.
A key part of the role will be maintaining high standards of administration and information management, including clear filing structures, version control, and consistent use of SharePoint pages and team sites.
You will build effective working relationships with internal stakeholders and external delivery partners, coordinating communications, inputs and dependencies to ensure smooth and effective programme delivery.

What experience would we like you to have?
- Experience in an administration, coordination or operations role
- Proficient with Microsoft 365, including Outlook, Teams, Excel, SharePoint and PowerPoint
- Well-developed organisational skills and the ability to manage multiple priorities and deadline
- Meticulous attention to detail and a commitment to accuracy
- Highly effective interpersonal and communication skills, both written and verbal
- Highly collaborative, with the ability to build effective working relationships
- Comfortable working in a fast-paced, evolving environment
- Able to adjust smoothly to shifting priorities and workload
- Initiative-driven and solutions-focused, bringing new ideas and identifying improvement opportunities

It Would Be Beneficial If You Also Had
- Experience in Learning & Development, HR or training environments
- Experience working within a fast-paced, multicultural organisation
- Experience using LMS or HR systems, such as SuccessFactors
- Experience supporting reporting, data management or administration activities
- Experience supporting the delivery of learning programmes or events
