Lease Administrator – IVC Evidensia
About the Role
IVC Evidensia is a leading veterinary services provider in Europe and North America, operating over 2,500 clinics and hospitals across 19 countries and employing 42,000 people. The organisation supports the healthcare of approximately 25,000 animals daily, with a mission to champion animal welfare and owner well-being under the principle of Healthy Animals, Happy Owners.
The lease administrator role sits within the Group Lease Accounting team, reporting to the Group Lease Accountant. IVC Evidensia currently manages 8,000 leases across 20 countries, with a total liability of around £650 million.
This position involves close collaboration with country and GBS teams to maintain an accurate global lease portfolio. Key responsibilities include:
- Ensuring data inputs and outputs to IVE’s lease accounting software are accurate
- Proactively identifying and resolving discrepancies
- Upkeep portfolio accuracy across the enterprise.
Key Accountabilities & Responsibilities

Lease Data Capture: Abstract relevant information from lease agreements and associated documentation, including:
- Asset details
- Start/end dates
- Payment amounts (exact and periodic)
- Payment frequencies
- IFRS 16 clauses (where applicable)

Compliance & Coordination:
- Ensure adherence to lease-related policies and regulations
- Consult with Lease Accountant (Methodology & compliance) for clarifications

Cross-Checking & Issue Resolution:
- Proactively address discrepancies by liaising with finance, GBS, legal, property, and other cross-functional teams.

Lease Portfolio Management:
- Maintain accurate updates for lease details, acquisition data, corrections, and periodic registers within leased asset management software
- Uphold compliance with established corporate controls, systems, and documentation protocols.

Stakeholder Engagement:
- Respond to lease-related inquiries from relevant stakeholders
- Participate in payments review and approval processes

Audit & Workload Tracking:
- Update workload coordination tools with lease processing statuses, decisions, and matters arising to maintain a comprehensive audit trail for each lease/asset.
Experience & Qualifications
- Teamwork: Ability to collaborate effectively with other lease administrators as part of a broader team.
- Methodical Approach: Adherence to precise, structured workflows essential for lease portfolio accuracy.
- Stakeholder Management: Experience liaising with multiple teams (often with differing priorities) to achieve outcomes.
- Communication: Excellent written and verbal skills for artefact clarification and reporting.
- Attention to Detail: Keen eye for data discrepancies, policy adherence, and error-free documentation.
- IT Competency: Proficient in MS Office (especially Excel), and experience with lease-related or similar software preferred.
- Lease Accounting Awareness:
- Basic understanding of lease payments, invoicing, and accounting principles.
- Familiarity with IFRS 16 is advantageous (though not mandatory).
- Software Literacy:
- Experience with Oracle Fusion (ideal but not essential).
