Head of Business Operations

About Affinity Consulting
Affinity Consulting is a growing consultancy supporting health, technology and growth-focused organisations with strategy, delivery, commercial development and operational execution.
As the business grows, we are looking for a highly organised and proactive individual to lead the setup and management of our business administration and back-office function.
This is a hands-on role for someone who can bring structure, create processes and help build the operational foundations of a new and growing business.
Role purpose
The Head of Business Operations will be responsible for setting up and managing the day-to-day operational and administrative processes across Affinity.
This will include invoicing, debt chasing, quote management, onboarding employees and contractors, diary and inbox management, recruitment coordination, business policies, templates and internal processes.
The role may also support wider group businesses, including Great Scenic Journeys and Brysk, with their business operations and administration.
Key responsibilities
Business Administration & Operations
- Set up and manage Affinity's core back-office processes.
- Maintain systems for documents, contracts, quotes, invoices and business records.
- Create practical policies, templates and ways of working.
- Improve consistency, organisation and efficiency across the business.
Finance Administration
- Prepare and issue client quotes, proposals and invoices.
- Track outstanding invoices and support debt chasing.
- Maintain records of payment terms, client agreements and commercial commitments.
- Liaise with accountants or finance partners as required.
People, Recruitment & Onboarding
- Coordinate onboarding for permanent employees, contractors and associates.
- Maintain employee, contractor and supplier records.
- Support the creation of onboarding packs, contracts and induction materials.
- As the business grows, support recruitment activity including adverts, interview coordination and offer processes.

Diary, Inbox & Business Support
- Manage diaries, meetings and scheduling for senior leaders where required.
- Support inbox management, correspondence and follow-up actions.
- Prepare agendas, meeting notes and action logs.
- Help ensure actions are tracked and completed.
Wider Group Support
- Provide operational and administrative support to other group businesses, including GSJ and Brysk, where required.
- Help improve processes, coordination, invoicing and general business operations across those businesses.
Skills and experience
Essential
- Experience in business administration, operations support, office management or executive support.
- Strong organisational skills and excellent attention to detail.
- Experience with invoicing, quotes, documents and basic finance administration.
- Confident using Microsoft Office, Teams, Outlook, SharePoint and Excel.
- Able to work independently and manage multiple priorities.
- Comfortable working in a growing business where processes need to be built from scratch.
- Professional, discreet and trusted with confidential information.
Desirable
- Experience in consultancy, healthcare, technology or professional services.
- Experience supporting recruitment or onboarding.
- Experience creating policies, templates or processes.
- Experience supporting founders, directors or senior leaders.
- Familiarity with CRM, finance or project management tools.

- Proactive, practical and solutions-focused.
- Calm, organised and able to bring order to complexity.
- Commercially aware and understands the importance of cashflow and client service.
- Confident working with senior stakeholders, clients, employees and suppliers.

What success looks like
Within the first six months, the successful candidate will have:
- Set up clear back-office processes for Affinity.
- Created reliable systems for quotes, invoicing, debt tracking and documents.
- Improved diary, inbox and meeting coordination.
- Supported onboarding of employees, contractors and associates.
- Helped create core policies, templates and branded materials.
- Identified how the role can support wider group businesses such as GSJ and Brysk.
